Posting Summary
Rutgers, The State University of New Jersey, is seeking a Business Specialist for the Humanities department within the School of Arts and Sciences.

Among the key duties of this position are the following:

  • Provides the Business Manager with support in monitoring, processing, and reviewing transactional activities relating to the human resources, commitment accounting, and fiscal processes and backs-up the Senior Administrative Assistants with the organization of scholarly meetings and conferences that may require occasional adjusted work week with night or weekend hours. The Business Specialist is the primary preparer for purchasing, reimbursements, and HCM/payroll transactions.
  • Prepares financial documents and reports for internal and external purposes consistent with a broad understanding of the mission, vision, role, and goals of the Centers, the School of Arts and Sciences, and the tasks and responsibilities of the Business Specialist with respect to achieving business unit goals.
  • Supports the School of Arts and Sciences, primarily but not limited to the Humanities Division and affiliated centers including, but not limited to the Rutgers Center for Historical Analysis, Institute for Research on Women, High School Teacher Institute, Rutgers British Studies Center, Center for Cultural Analysis, RAICCS, Thomas A. Edison Papers, and NJ Civic Education Center.
  • Provides assistance and support to other Humanities-wide projects and initiatives, including occasional support for business operations in Humanities departments.
  • Works under general supervision, within established work parameters and carries out routine and non-routine tasks with occasional review of work output by supervisor.
  • Works with departments and centers to ensure effective management of external grants and collaborates as needed with other grant management operations in SAS.
  • Performs professional work requiring knowledge of generally accepted accounting principles and practices (GAAP), and a good understanding and application of concepts, theories, principles, practices, terminology, and applied bases of accounting.
  • Revises and implements internal budgeting and expense tracking procedures consistent with University processes and standards, detailing fund/expense relationships (i.e. operating budget, grant funds, funds placed with SAS units/centers by constituent groups).
  • Prepares accurate and detailed budget reports as requested for Directors and coordinators of constituency groups including generation of Revenue/Expense Statements within one business day of request.
  • Prepares executive budget summaries for relevant Boards.
  • Consults with and acts as resource for Directors, SAS Deans and Administrators, and Boards on strategic planning as this pertains to Unit/Center staff, space and budgetary needs, technology, and best practices for events.
  • Acts as central point of coordination for financial matters.
  • Prepares reimbursements for those requests related to SAS units/center/constituent funds.
  • Coordinates purchasing processes for all purchases relating to SAS units/centers/constituent funds and accurately tracks expenditures.
  • Performs timely reconciliations of budget against reports.
  • Ensures proper placement of hires on payroll and prepares payroll/HCM transactions in line with budgets.
  • Works closely with the Business Manager and PIs, on grant proposal submissions, consistent with sponsor guidelines, instructions and deadlines; completion of administrative documentation.
  • Contacts co-P.I.'s and collaborators for documentation.
  • Assists with grant reporting documents provided to sponsors for renewals, extensions, interim reporting and close-outs.
  • Reviews allocation and disbursement of funds according to procedures for proper controls.
  • Works and liaises with the Rutgers foundation, Office of Research and Sponsored Programs (ORSP) and other university units for grant account setup, compliance, monitoring and reporting.
  • Interacts and collaborates with other grant management teams in SAS to ensure application of consistent school-wide practices and procedures related to grant management.

Qualifications


Minimum Education and Experience

  • A bachelor's degree in accounting, finance, business administration, or related field; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of generally accepted accounting principles and practices.
  • A minimum of two years relevant experience in a financial/accounting function.

Certifications/Licenses
Required Knowledge, Skills, and Abilities

  • Good communication skills, and computer literacy.
  • Must have superior customer service skills and is expected to provide excellent customer service to internal and external clients.

Preferred Qualifications
  • Experience in a college or university environment.
