We are seeking an Administrative Assistant to join our team in Wilkes-Barre, PA.
Position Details
* Maintain and organize case records, including file setup and regular updates.
* Process and reconcile claims efficiently.
* Draft letters, memos, and reports as needed.
* Coordinate and schedule meetings.
* Prepare various reports to support management and continuous quality improvement initiatives.
* Sort, route, and prioritize incoming mail and faxes.
* Manage office supplies, equipment, and furniture orders and inventory.
* Update and maintain the agency's policy and procedure manual.
* Assist the Program Director in preparing staff work schedules.
* Track and maintain records of staff work and leave time.
* Utilize various computer programs, including MS Word and Excel.
* Provide support for payroll and financial operations/budgets as required.
* Draft letters for medical records requests and manage a log of requests and received records.
* Maintain current insurance information for all cases.
* Oversee and monitor flex funds under the Program Director's supervision.
* Participate in all required training sessions and meetings.
* Demonstrate trauma-informed and recovery-oriented practices in all interactions.
* Exhibit culturally competent skills in daily interactions with team members, individuals served, and stakeholders.
* Adhere to all policies, including standards of conduct, confidentiality requirements, professional behavior standards, and mandated reporting protocols.
* Perform other duties as assigned.
Earn: $16.85 per hr.

The ideal candidate will possess the following qualifications:
* Must have an associate's degree or equivalent experience managing office responsibilities in a fast-paced clinical setting.
* Demonstrated experience in:
* Record keeping and filing
* General clerical skills (e.g., phone etiquette, word processing, data entry, report generation)
* Claims processing and reconciliation
* Supporting program staff in completing their responsibilities
* Strong organizational, problem-solving, and interpersonal skills.
* Bilingual in Spanish (preferred).
* Possession of a valid PA driver's license.
* Ability to pass state and federal clearances.
