Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking an Administrative Coordinator. Reporting to the Sr. Department Administrator Spvr at Rutgers Business School, this position is responsible for managing all of the HR personnel transactions for the Newark and New Brunswick
RBS staff. This position is located on our Livingston Campus in Piscataway.

RBS) is the second largest school at Rutgers University encompassing the undergraduate and graduate business programs offered on the Newark and New Brunswick campuses and on multiple off-site (including international) locations.

This position is responsible for and not limited to the following:
- Understand and convey Rutgers Business School's mission and goals. Ensure that human resources practices at RBS are compliant with federal, state and local laws and regulations, University policy as well as applicable collective bargaining agreements
- Work closely with and makes suggestions to the Sr. Department Administrator Spvr to develop and enhance the RBS-HR role
- Develop and maintain relationships with internal and external constituents.
- Work independently
- Handle complex and highly sensitive confidential matters
- Responsible for the orientation of new employees
- Manage the hiring processes for the dual campus school
- Conduct pre-interview meetings with all search committee members
- Review and prepare staff appointment letters in accordance with University guidelines and procedures
- Responsible for recordkeeping of employee data and documents, such as personnel file management, evaluations, department access folders, etc.
- Analyze data and provide reports as requested
- Attend campus-wide meetings to enable exposure to other HR members across the campus to share and maintain best practices
- Disseminate best practices among RBS staff and faculty
- Independently troubleshoot matters such as payroll, terminations, and policy and procedure concerns
- Ensure fiscal year and FLSA rules are adhered to and understood regarding absences
- Serve as contact person for all Staff Compensation processes

Consistent with the current application of Rutgers Policy 60.3.22 or the applicable provisions of relevant collective negotiations agreements, this position may be eligible for a hybrid work arrangement. Qualifications
Minimum Education and Experience |
- Requires a bachelor's degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, work organization, coordination, facilitation, and/or writing principles and practices
- Also requires a minimum of three years of relevant experience in an administrative function, good communication skills, and computer literacy

Immunization Requirements
Under Policy 100.3.1 Immunization Policy for Covered Individuals, if employment will commence during Flu Season, Rutgers University may require certain prospective employees to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless the University has granted the individual a medical or religious exemption.
