The Department of Family and Community Medicine seeks a professional, dynamic, customer focused Administrative Assistant 3 to join our team and support our faculty, staff and students. This position will report to the Manager of Administrative Operations and will participate in the following functions:

  • Front Desk reception to include answering phones, greeting visitors, and scheduling conference rooms.
  • Audio/Visual/copier/printer and conference room support.
  • Maintaining the department directory and controlling pager inventory.
  • Digital Measures/Faculty Success data entry.
  • Communication with faculty for precepting coverage - emails and follow-up.
  • Pcard purchases.
  • Working with excel reports and PDFs.
  • Maintain calendar and provide administrative support for the Vice Chairs of the Department.
  • Review of patient data/encounters for accuracy - HIPAA.
  • Mail distribution, ordering supplies, and inventory review.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.


Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications

Preferred Qualifications:

  • Experience with P-card purchasing and reimbursements and knowledge of Chrome River system processes
  • Knowledge of maintaining office equipment such as fax machines, printers, copiers and desktops
  • Ability to work independently and manage multiple projects
  • Excellent customer service skills and problem-solving skills
  • Intermediate to Advanced knowledge of Microsoft Office - Word, PP, Excel and Publisher
  • Experience with Smartsheets
  • Experience with electronic calendaring and scheduling meetings
  • File creation and maintenance knowledge
  • Experience with front desk duties such as answering and transferring calls and greeting visitors
