Are you a proactive professional with office management experience and a knack for ensuring smooth operations? Join our team at Indian River State College as a Campus Coordinator, where you'll play a key role in supporting the Campus Director and keeping our campus running efficiently!

JOB SUMMARY:

Under minimal supervision, this position helps the Campus Director ensure smooth operation of the assigned campus. Duties include: assisting in preparing the budget and monitoring campus expenditures; assisting with facility needs and rentals; and serving as a local point of contact for campus visitors, faculty needs campus safety, facilities, IT, student life, off-campus sites, and other non-student success staff on campus.

SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Serves as the office manager for the campus, providing administrative support to the Campus Director;
  • Will supervise and manage staff on campus as needed by the Campus Director;
  • Assists in preparing and monitoring the campus budget, processes purchase orders, and oversees purchasing card expenditures;
  • Manage all facility rentals through current system; approves scheduling of events and rental usage, coordinates needs for events, point of contact on campus for all rentals; works with cashiers to process facility rental payments;
  • Completes classroom assignments after course schedule is constructed;
  • Maintains office/classroom supplies and manages/monitors service request tickets;
  • Establishes and maintains business relationships with vendors;
  • Handles all phone, computer, AV equipment, copy machines, and fax problems for the campus;
  • Oversees all campus classrooms and coordinates with IT to maintain classroom equipment;
  • Acts as campus safety liaison; handles key requests and related records; and maintains files for incident reports; maintains and updates campus security plan and employee contact information;
  • May act as support for registration assistants as needed (applications, transcripts, cashiering and residency);
  • Assists with campus and recruitment events;
  • May notarize documents;
  • Provides technical support with C-port lockers;
  • Completes all other duties and responsibilities as assigned.

QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:

  • Associate degree; Bachelor preferred; three (3) years of directly related clerical/administrative, office management experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Public notary license desired.
  • Knowledge of bookkeeping procedures and standard office practices.
  • Knowledge of College/branch policies and procedures as well as public relations.
  • Skill in organizing, typing, entering data, and filing.
  • Skill in applying and using technology as related to this position including working with Microsoft Office and Windows based applications.
  • Ability to be accurate and detailed oriented, apply good judgement, work independently as well as with others, be diplomatic, multi-task, and be self-motivated.

PHYSICAL DEMANDS:

This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.

To perform this job successfully, the employee must possess the abilities or aptitudes to perform each duty proficiently. Continued employment remains on an "at-will" basis.
