Job Summary

The Administrative Assistant III role is an entry-level position in the highly dynamic Memory and Aging Center with a primary focus on the study of neurodegenerative diseases. The incumbent will provide administrative support to the Tee Lab research team and Chinese Outreach team by assisting Clinical Research Coordinators (CRC) and supervisor. Key responsibilities include utilizing the UCSF e-Procurement system (such as Bearbuy) for purchasing goods and services, submitting reimbursements through MyExpense, coordinating the set-up of data transfer agreements and subcontracts with UCSF Office of Sponsored Research, updating the institutional review board (IRB) of our lab studies, managing reimbursement logistics with foreign collaborators, and performing other administrative duties as assigned.

Under direction, the incumbent's duties may include, but will not be limited to supporting the research team by coordinating the administrative operations of research projects, updating research documents; serves as a liaison between faculty and other department; implement effective and systematic approaches to help alleviate administrative tasks for team members, arrange team meeting and bonding schedules; participate in the review and writing of protocols to ensure institutional review board approval within University compliance; accurate submission of invoices to the corresponding person and department; design post-event surveys using Qualtrics; establish and update study manuals and documentations as required; and query reports using Microsoft applications and perform other administrative duties as assigned.

This is a hybrid position with the possibility of working on some weekends (4-5 times per year) in order to assist team members during community outreach events.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $29.03 - $41.55 (Hourly Rate).

Department Description

The Memory and Aging Center (MAC) is a clinical research unit within the UCSF Department of Neurology that investigates the clinical (neurological, cognitive, behavioral, neuroanatomic) characteristics of various neurodegenerative diseases. The Primary Investigator's (PI) research within the MAC focuses on the decision-making processes in patients with frontotemporal dementia (FTD), Alzheimer's Disease (AD), primary progressive aphasia (PPA), and other neurodegenerative disorders.

Required Qualifications


  • High school graduation and four years of related administrative experience; or an equivalent combination of education and experience;
  • Excellent time management and organizational skills, including the ability to prioritize time effectively in a multi-tasking environment
  • Must have strong attention to details and highly organized
  • Ability to work effectively with a multidisciplinary team
  • Excellent verbal and written communication skills
  • Excellent computer skills, proficiency with Microsoft Excel, Word, PowerPoint, and preferably Outlook
  • Competence in database utilization (Access, Qualtrics, RedCAP, or other)
  • Ability to work well independently with general direction

Preferred Qualifications


  • Bachelor's Degree in relevant fields, and one or more years of recent, directly related work experience following degree completion, utilizing the techniques or methods required by the position, or an equivalent combination of education and experience
  • Experience in other research software for data management
  • Experience in data management and data entry
  • Background experience in research
  • Ability to speak, read, or write Chinese languages, especially Mandarin and Cantonese
  • Preparation of reports and PowerPoints and compilation of data for presentation at meetings
  • Knowledge of IRB procedures including study applications, renewals, and modifications
  • Knowledge of UCSF, IRB, confidentiality and HIPPA regulations, following the UCSF mission statement and purpose for research, and a clear understanding of policies and procedures on patient safety and confidentiality (electronic and hard copy medical records, patient charts, communication, etc.)
  • Knowledge of basic medical terminology, research policies and guidelines, database building/analysis, and data management
  • Experience applying the following regulations and guidelines: Good Clinical Practice Guidelines Health Information and Accountability Act (HIPAA), The Protection of Human Research Subjects, CHR regulations for recruitment and consent of research subjects
