Program Coordinator, Graduate Medical Education (GME) Fellowship Programs

In this role, you'll help ensure fellowship programs meet the highest standards of quality while supporting recruitment, curriculum administration, accreditation activities, and learner success.

What You'll Do:
Accreditation & Program Compliance

  • Support fellowship programs in maintaining compliance with Accreditation Council for Graduate Medical Education (ACGME), Institutional GME (IGME), and Internal Medicine Subspecialty/International accreditation requirements, as applicable.
  • Monitor and apply current accreditation standards, institutional policies, and regulatory requirements.
  • Partner with Program Directors to support educational curriculum planning, accreditation initiatives, and continuous quality improvement efforts.
  • Ensure fellowship education activities align with national, institutional, departmental, and program requirements.
  • Coordinate annual evaluations for fellows, faculty, and educational programs.
  • Maintain fellowship databases and educational records, ensuring accuracy and timely updates.
  • Participate in institutional GME committees and related educational activities as assigned.


Recruitment & Onboarding

  • Assist in the development, design, and distribution of recruitment materials for prospective fellows.
  • Coordinate annual fellowship recruitment activities in compliance with GME and specialty-specific requirements.
  • Manage processes associated with SF Match, ERAS, and other applicable recruitment systems.
  • Provide applicants and stakeholders with accurate information regarding recruitment timelines, policies, and procedures.
  • Support onboarding activities for incoming fellows.


Program Operations & Communication

  • Help manage day-to-day fellowship program operations and administrative activities.
  • Serve as a resource for Program Directors, faculty, fellows, and staff regarding policies, procedures, and program requirements.
  • Communicate program updates, educational activities, and departmental information to key stakeholders.
  • Prepare and distribute materials for departmental and fellowship meetings.
  • Coordinate team meetings, departmental events, and educational conferences.
  • Organize and maintain fellowship didactics and educational content through learning management systems including Sakai and Canvas.
  • Collaborate with departments across Duke Health and Duke University to support high-quality educational experiences.
  • Support occasional activities outside standard business hours as needed to meet program objectives.


What You'll Bring:
Required Qualifications

  • Bachelor's degree or an equivalent combination of relevant education and experience.
  • Strong analytical, communication, organizational, and project coordination skills.
  • At least one year of experience in program administration, academic support, education, counseling, or related fields.
  • Ability to manage multiple priorities while maintaining attention to detail and regulatory compliance.


Preferred Qualifications

  • Experience supporting Graduate Medical Education (GME), academic medicine, healthcare education, or higher education programs.
  • Experience working with accreditation standards and regulatory processes.
  • Knowledge of fellowship recruitment systems such as ERAS, SF Match, and residency/fellowship application platforms.
  • Experience coordinating educational programs and events.


Preferred Skills

  • Ability to provide guidance, establish expectations, and support collaborative team performance.
  • Strong problem-solving and critical-thinking skills.
  • Experience evaluating program performance and implementing process improvements.
  • Knowledge of business operations, strategic planning, and resource coordination.
  • Proficiency with Microsoft Office Suite, Zoom, WebEx, Sakai, Canvas, and related educational technology platforms.
  • Excellent interpersonal skills with the ability to build effective relationships across diverse stakeholder groups.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $45,661.00 to USD $73,140.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
