Job Summary

The Department of Psychiatry's Pediatric Psychiatry OCD and Tic Disorders Program is seeking a qualified applicant for the position of Program Manager. This person would be working with a team of four clinicians, one patient service coordinator, one research specialist, and two interns. This would be a 50-60% time commitment and would involve leading and managing programs and project operations, including overseeing project execution to ensure goals, timelines, and budgets are met. They would also be responsible for implementing all policies and procedures necessary to ensure a safe and efficient department, as well as managing a team that supports the daily administration of programs. The ideal candidate is highly organized, detail-oriented, and diligent; can work independently and as part of a team; and has excellent communication skills.

Key Roles & Responsibilities:

- Implement programs aligned with the organization's overall goals and objectives, ensuring compliance with program mission, established philosophies, and published program guidelines.
- Lead the design, development, and execution of new programs, projects, and initiatives. Serves as first-line contact for prospective fellows and anyone else reaching out about interest in working with the program.
- Develop systems and procure organizational tools to improve efficiency, orderliness, and safety. Develop, maintain, and update the Procedural Manual. Use Workday to order supplies and submit expenses. Schedule space as needed.
- Prepare, maintain, and monitor the budget for the assigned funds. Report monthly status to the Director and collaborate with Finance and Personnel Operations staff to address any issues. Meet regularly with the Development Office to explore funding opportunities. Submit salary changes as needed.
- Assist in building and leading a high-performing team. Monitor clinician productivity monthly and provide feedback to the Director and individual clinicians. Manage intern program by coordinating with Boston University MAMS program to identify candidates; interviewing graduate and undergraduate applicants; and onboarding successful applicants. Interface with Bulfinch Temps to provide coverage for clinical staff as needed. Develop, distribute, and maintain agendas for monthly Team Meeting and weekly Director meeting.
- Supervise Patient Services Coordinator, support staff, and interns. Collaborate with the Program Director on any disciplinary action issues. Complete annual Performance Appraisals alongside the Program Director. Monitor patient intakes weekly, forward to the Director for review, confirm eligibility for appointment with parents via email, and forward intake to the relevant clinician panel.
- Act as a liaison among all staff levels to effectively address program concerns, escalate issues, and ensure coverage as needed.
- Performs other duties as assigned

Qualifications

Education

  • Bachelor's Degree Related Field of Study required
  • Master's Degree Related Field of Study preferred

Experience

  • Supervisory/Team Leadership Experience: 1-2 years required
  • Program Management Experience: 5-7 years preferred
