Departmental Overview

The Department of Intercollegiate Athletics consists of more than 275 staff members and coaches and sponsors 30 varsity sports programs. These 30 programs include more than 850 student-athletes who participate in the various sports programs annually within the National Collegiate Athletics Association (NCAA).

Position Summary

The Aquatics Chief of Staff develops, promotes, and supports the operational and strategic aspects of intercollegiate student athlete programs, including planning, scheduling, budget administration, and travel. This position aids and facilitates the operational needs of the Aquatics programs and serves as an advisor to the Swimming Head Coach. The Aquatics Chief of Staff maintains an advisory role in all Aquatics strategy and analysis, through the regular breakdown of team objectives, communication needs, and tracking and measuring performance success metrics. The role serves as a connector to al support units with the Department. The Aquatics Chief of Staff also plays a role in recruiting, assisting with all on-campus recruiting trips, and coordinating the travel plans of the Head Coach for all recruiting activities. Overall, this position helps support the overall operations of the programs and ensures the promotion of the holistic well-being and development of the student-athletes.

Responsibilities

Practice Scheduling and Performance Analysis - 15%

  • Works with the coaching staff during the off-season and regular season to plan, create, and implement practice schedules, time management plans, and an exhaustive calendar for coaches and student athletes to include all required activities, trainings and meetings.
  • Develops performance reports for each program using statistical data gathered from a variety of technologies and tools.
  • Will coordinate the non-conference game scheduling each year. Will discuss possible opponents with the Head Coach, reach out to various teams to gauge interest, work with department staff to schedule games, etc.

Program Administration and Student-Athlete Liaison - 15%

  • Coordinates, plans, organizes, and administers mid-size athletics program(s) and projects in conjunction witn support untis such as Marketing, Ticketing, Equipment, Video and Sports Management.
  • Coordinates with respective departments to assist student-athletes with recruitment process, admissions, scheduling classes, financial aid, summer bridge/Golden Bear Orientation programs, housing, etc.

Recruiting Logistics and Travel Management - 10%

  • Assist with the coordination and logistics of all on-Campus recruiting activities (official and un-official visits).
  • Will manage all travel arrangements (flights, hotels of Head Coach related to recruiting activities, including in-home visits, scouting/recruitment trips, etc..

Home Event Support - 10%

  • Directly supports the home events of each Aquatics programs, ensuring that all information is shared with Event and Facility staff and be on hand to assist with any in-event issues that may arise.

Student Workforce Management - 15%

  • Recruit, train, and manage student workforce across all Aquatics programs managers, practice workers, event setups workers, gameday workers.

Community and Donor Relations - 10%

  • Establish and maintain effective interactions with the university community, alumni, donors, media and the public.
  • May be asked to engage in development activities, including but not limited to fundraisers, donor meetings, etc.

Coaching Advisory and Student Well-Being - 5%

  • Serve as an advisor to the Swimming Head Coach and ensure the program is running optimally.
  • Help foster an environment that promotes the well-being and personal development of the student-athletes.

Budget Management - 15%

  • Budget Management of all Aquatics programs including scholarship allotments

Other Duties - 5%

  • Other duties as assigned by the Head Coach, including professional development.

Required Qualifications

  • 5+ years of experience working with Division 1 Aquatics programs.
  • Thorough knowledge of and/or ability to learn program activity and best practices.
  • Problem-solving skills; multi-task, work with frequent interruptions, and effective listener.
  • Highly effective verbal and written communication skills in the English language.
  • Proficiency in the use of basic computer applications relevant to job duties.
  • Solid organizational skills and ability to accomplish multiple tasks within demanding timeframes.
  • Ability to use discretion and maintain all confidentiality.
  • Ability to use sound judgment in responding to issues and concerns.
  • Must maintain current knowledge of and/or ability to learn applicable rules and standards of the ACC Conference, the National Collegiate Athletic Association (NCAA), as well as other associations and agencies to which the Berkeley campus of the University of California adheres, and, at all times avoid any and all violations of these rules and standards.

Education / Training

  • Bachelor's degree in related area and / or equivalent experience / training (Required)

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions, including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted annual range that the University reasonably expects to pay for this position is $85,000.00 - $100,000.00.

  • This is an exempt, monthly-paid position.
  • This is a 1-year, full-time [40 hours/week] contract position eligible for UC benefits.
