Are you a highly organized and proactive professional ready to make a significant impact by empowering senior leaders to achieve their strategic goals? We are seeking a dynamic individual to step into a pivotal support role, becoming the central force that keeps critical operations running seamlessly. You'll be instrumental in ensuring that four senior leaders, driving key initiatives across the organization, have the support they need to innovate and lead. If you thrive on anticipating needs, managing complex logistics, and creating an environment where efficiency reigns, you'll find immense satisfaction in this role.

What You'll Be Doing



  • Executive Administration: Expertly manage intricate calendar scheduling, coordinate domestic and international travel arrangements, accurately process expense reports, and handle all visitor and safety registrations.
  • Meeting & Event Preparation: Take charge of setting up physical meeting spaces for both local and international guests, ensuring rooms are perfectly prepared, all necessary equipment is fully functional, and clear signage is in place.
  • Catering Coordination: Oversee all food and beverage requirements from initial sourcing of vendors and placing orders, through to managing on-site delivery, setup, and meticulous cleanup.
  • Data & Purchase Order Tracking: Maintain precise financial records by accurately tracking Purchase Orders (POs) using Excel, diligently update team lists, and organize critical files.
  • General Office Support: Ensure office supplies are consistently stocked, manage incoming deliveries, and proactively assist with general office needs as they arise.


What We're Looking For

Must-Have Qualifications



  • Experience: A minimum of 5 years of dedicated experience supporting executive-level leadership (VP/SVP level).
  • Technical Proficiency: Solid proficiency in Excel, including sorting data, managing lists, and simple formatting. Strong command of Outlook and Word. A quick learner, adept at picking up new internal software tools rapidly.
  • Detail-Oriented & Organized: Demonstrates exceptional accuracy when handling numbers, Purchase Orders, and travel details. Possesses the ability to track multiple complex tasks and priorities without overlooking any critical elements.
  • Proactive & Helpful Attitude: Eager to assist wherever needed, whether it involves resolving a scheduling conflict or coordinating catering for multi-day events.
  • Professional Communication: Exhibits clear, polished verbal and written communication skills when interacting with internal teams, external vendors, and guests, always upholding the highest standards of confidentiality.
