We are looking for a Talent Acquisition Coordinator to join our Talent Acquisition team and help deliver an exceptional candidate, hiring manager and interviewer experience, while supporting efficient and consistent Talent Acquisition (TA) processes globally.

This is a high impact role in the recruitment process, supporting interview scheduling, candidate communications, recruiting operations, hiring documentation, background checks, onboarding coordination, and system administration. This role offers the opportunity to build broad experience within TA, combining hands-on coordination and operations with exposure to recruitment, systems, projects and continuous improvement.

Working alongside an experienced global TA team, you will gain exposure to sourcing, candidate screening, employer branding, internship programs, recruiting systems, analytics, and process improvement initiatives while building the skills needed to grow into future TA roles.

Please note: This role is a hybrid remote role, with occasional travel to our office in Moon Township, PA, and 1-2 annual trips to Stockholm, Sweden for team conferences.

The team

Our team is split between Pittsburgh and Stockholm. We value open communication, collaboration, and continuous improvement. We focus on progress over perfection, learning, adapting, and improving together. You'll report to the Head of Talent Acquisition in Stockholm.

In this role you will:

Recruiting Coordination & Candidate Experience

• Partner closely with recruiters and TA leadership to understand team needs and improve day-to-day workflows and ways of working.
• Schedule interviews and serve as a point of contact for candidates and hiring managers throughout the interview process.
• Proactively keep recruitment processes moving by anticipating next steps, following up with stakeholders and ensuring nothing falls through the cracks.
• Manage interview documentation and candidate records.

Talent Acquisition Operations

• Maintain accurate candidate, requisition and recruitment activity within Workday (HR information system) and other recruiting systems.
• Support the setup, maintenance and continuous improvement of recruitment steps, workflows and processes within Workday.
• Support offer preparation and hiring documentation processes.
• Coordinate pre-employment activities, including background checks, employment verification, and other hiring requirements.
• Assist with onboarding coordination and new hire transitions.
• Monitor recruiting workflows and ensure process compliance.

Process Improvement & Reporting

• Identify opportunities to improve recruiting efficiency, consistency, and the candidate experience, including process documentation, standardization and implementation.
• Help test and implement new recruitment processes, system changes, and ways of working.
• Assist with recruiting reporting and data quality efforts.
• Participate in projects related to recruiting technology, automation, and process enhancements.

Talent Acquisition Development

• Learn recruiting fundamentals and best practices.
• Participate in candidate screening and assessment activities.
• Gain exposure to sourcing strategies and talent market research.
• Support employer branding initiatives and recruiting events.
• Contribute to internship and early talent programs.
• Shadow recruiters and TA-partners throughout the full recruitment lifecycle.

What We're Looking For:

• Strong systems aptitude and confidence learning and working with recruitment technology, systems and workflows.
• Bachelor's degree or equivalent combination of education and experience.
• Strong organizational and project coordination skills.
• Excellent communication and relationship-building abilities.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong attention to detail and follow-through.
• Proficiency with Microsoft Office applications.
• Comfortable working across multiple time zones and with international stakeholders.

Ideal candidates will bring:

• Previous experience in recruiting coordination, human resources, customer service, administration, or project coordination.
• Experience working with applicant tracking systems such as Workday or similar platforms.
• Genuine interest in TA, recruitment operations, systems and continuous improvement.
• Experience supporting process improvement initiatives.
• Additional language skills, particularly French or German.
