Job Summary

The Medical Assistant provides clinical and administrative support to licensed medical providers and the healthcare team serving individuals receiving substance use disorder, behavioral health, and integrated medical services. Working as part of an interdisciplinary treatment team, the Medical Assistant supports patient care and efficient clinic operations by preparing patients and examination rooms for medical visits, obtaining and recording vital signs, maintaining accurate medical records, performing routine clinical procedures, and assisting providers during examinations and procedures.

The Medical Assistant also supports the administrative functions of the medical practice, including scheduling appointments, coordinating referrals and follow-up care, responding to patient communications, maintaining clinical supplies, and ensuring required information is accurately documented within the electronic health record. Services are performed under the direction of an authorized licensed medical provider and within the Medical Assistant's education, training, certification, demonstrated competency, applicable requirements, and organizational policies.

Education & Experience



  • High school diploma or equivalent required.
  • Completion of a Medical Assistant education or training program required.
  • Current Medical Assistant certification, such as Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), Certified Clinical Medical Assistant (CCMA), or equivalent recognized credential preferred.
  • Current Basic Life Support (BLS) certification required at time of hire.
  • Experience using electronic health records required.
  • Experience performing venipuncture or successful completion of competency training required.
  • Experience working in behavioral health, substance use disorder treatment, community health, or similar healthcare settings preferred.


Essential Functions and Responsibilities



  • Prepare patients for medical appointments by obtaining and recording vital signs, including blood pressure, pulse, temperature, respiratory rate, weight, and other measurements as appropriate.
  • Obtain and update patient information, including medical histories, medication lists, allergies, health concerns, and other information needed to support the medical visit.
  • Prepare examination and treatment rooms for patient visits and ensure rooms are clean, appropriately stocked, and ready for use.
  • Assist licensed medical providers with physical examinations, medical procedures, treatments, and other clinical services within assigned responsibilities and demonstrated competency.
  • Perform venipuncture, capillary blood collection, specimen collection, specimen preparation, and other routine laboratory procedures as trained and authorized.
  • Perform CLIA-waived point-of-care testing and accurately document and communicate results in accordance with established procedures.
  • Perform basic clinical procedures and other delegated clinical services consistent with demonstrated competency, provider direction, and organizational protocols.
  • Administer medications, immunizations, or other treatments when permitted, appropriately delegated or ordered by an authorized licensed medical provider, and within the Medical Assistant's training and demonstrated competency. Report medication effectiveness, side effects, adverse reactions, and other concerns to the supervising licensed provider, as appropriate.
  • Prepare and maintain medical instruments and equipment, including cleaning, disinfecting, and sterilizing equipment as required.
  • Assist with medication-related administrative activities, including updating medication lists, coordinating prescription refill requests for provider review, communicating patient requests to the appropriate licensed medical provider, medication preparation, medication storage monitoring, inventory management, and patient medication instructions consistent with provider directions and organizational policies.
  • Observe patients during clinical interactions and promptly communicate changes, concerns, abnormal findings, or other information requiring evaluation by a licensed medical provider.
  • Provide patients with basic health information and reinforce instructions provided by licensed medical providers regarding treatment plans, medications, laboratory testing, follow-up care, wellness, and other healthcare recommendations.
  • Support patients in understanding and navigating scheduled medical services, referrals, laboratory testing, and follow-up care.
  • Schedule medical appointments, specialty referrals, laboratory services, and other healthcare services and assist with coordinating follow-up care.
  • Communicate with patients, pharmacies, laboratories, healthcare providers, specialists, and other organizations to support timely and coordinated patient care.
  • Answer and respond to telephone calls, electronic messages, and other patient communications, routing clinical questions or concerns to the appropriate licensed medical provider.
  • Update and maintain accurate patient information within the electronic health record, including clinical documentation, medical histories, laboratory information, patient communications, and other required records.
  • Assist with prior authorizations, insurance information, billing or coding documentation, and other administrative processes supporting patient access to healthcare services as assigned.
  • Complete timely, accurate, and compliant documentation of services and activities within the electronic health record.
  • Follow infection prevention and control practices, including Standard Precautions, OSHA Bloodborne Pathogen Standards, equipment cleaning and disinfection procedures, and appropriate handling and disposal of medical waste and sharps.
  • Maintain examination rooms, medical supplies, clinical inventory, laboratory supplies, temperature logs, and other records necessary to support safe and efficient clinic operations.
  • Protect patient confidentiality and comply with HIPAA, 42 CFR Part 2, organizational privacy requirements, and applicable documentation standards.
  • Participate in team meetings, case coordination, quality improvement activities, required training, and other activities supporting effective medical services.
  • Maintain required certifications, training, and competencies necessary to perform assigned responsibilities.
  • Perform other duties as assigned consistent with the Medical Assistant's training, competency, and assigned responsibilities.


Knowledge, Skills, & Abilities



  • Knowledge of Medical Assistant practices, routine clinical procedures, medical terminology, patient safety, and infection prevention.
  • Knowledge of basic anatomy, physiology, medications, and common medical conditions sufficient to support assigned Medical Assistant responsibilities.
  • Knowledge of routine patient intake procedures, vital signs, specimen collection, phlebotomy, medication administration, point-of-care testing, , and other common Medical Assistant procedures.
  • Knowledge of infection prevention practices, Standard Precautions, OSHA Bloodborne Pathogen Standards, HIPAA, 42 CFR Part 2, and patient confidentiality requirements.
  • Knowledge of electronic health records and clinical documentation practices.
  • Knowledge of substance use disorders, behavioral health conditions, trauma-informed care, and person-centered service delivery.
  • Skill in obtaining and accurately recording patient vital signs, medical histories, medication information, and other clinical information.
  • Skill in performing venipuncture, specimen collection, point-of-care testing, administration of medications including intramuscular and subcutaneous injections, and other routine clinical procedures within training and demonstrated competency.
  • Skill in preparing patients, examination rooms, instruments, supplies, and equipment for medical examinations and procedures.
  • Skill in completing accurate, timely, and organized clinical and administrative documentation using electronic health record systems.
  • Skill in communicating effectively and professionally with patients, families, licensed medical providers, healthcare professionals, and interdisciplinary treatment team members.
  • Skill in managing telephone calls, appointments, referrals, patient communications, and other administrative responsibilities in a healthcare environment.
  • Ability to recognize abnormal findings, changes in patient presentation, or other concerns and promptly communicate them to the appropriate licensed medical provider.
  • Ability to prioritize clinical and administrative responsibilities while maintaining accuracy, organization, and attention to detail.
  • Ability to provide respectful, trauma-informed, person-centered services and work effectively with individuals from a wide range of backgrounds and experiences.
  • Ability to establish supportive professional relationships with patients while maintaining appropriate boundaries.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive patient and organizational information.
  • Ability to work effectively as part of an interdisciplinary healthcare and behavioral health treatment team.
  • Ability to adapt to changing patient needs, clinical priorities, and organizational requirements.


Other Eligibility Requirements



  • Must successfully complete all required pre-employment screenings, including a criminal history background check.
  • Must not be excluded from participation in federal healthcare programs, including but not limited to listings on the Office of Inspector General (OIG) List of Excluded Individuals/Entities and the System for Award Management (SAM) exclusion list.
  • Must be legally authorized to work in the United States without sponsorship.
  • Must be able to travel throughout the Portland metropolitan area to perform essential job duties. When operating a vehicle for VOA Oregon business, the employee must possess a valid driver's license and meet VOA Oregon's and its insurer's driver eligibility requirements.


Travel Requirement

Occasional travel is required between Volunteers of America Oregon program locations, outpatient clinics, partner organizations, laboratories, pharmacies, and other healthcare or community sites within the greater Portland metropolitan area to support patient care, coordinate services, participate in meetings, and perform assigned responsibilities.

Supervisory Responsibilities

This position does not have direct supervisory responsibility for employees.

Physical Demands & Work Environment

The physical demands described here must be met by an employee while performing the essential duties of this job. The employee may occasionally be required to sit for extended periods, use hands and fingers to operate a computer and other office equipment, and communicate effectively in person, by telephone, and through electronic communication. The employee may regularly be required to stand, walk throughout the residential treatment facility, bend, reach, stoop, and occasionally lift, push, pull, or move up to 35 pounds. The employee may also be required to provide physical assistance to individuals during medical emergencies or behavioral health crises within the employee's training, professional scope of practice, and established safety protocols.

The work environment characteristics described here may be encountered by an employee while performing the essential duties of this job. The work is performed primarily in a behavioral health treatment setting with frequent use of standard office and clinical equipment, including computers, phones, and electronic health record systems. The employee regularly interacts with individuals experiencing substance use disorders, co-occurring mental health conditions, emotional distress, withdrawal symptoms, and behavioral crises. Occasional exposure to communicable illnesses, bloodborne pathogens, and other healthcare-related hazards may occur, requiring adherence to infection prevention, universal precautions, and organizational safety protocols. Occasional travel between program sites, partner sites, healthcare facilities, pharmacies, and community meetings may be required. The noise level is generally low to moderate but may occasionally increase during periods of heightened client activity or crisis response.
