Job Duties



  • Work closely with Ruston Plant Manager to handle all office administrative functions.
  • Ruston onsite contact for Human Resources/Administrative functions, including but not limited to:
  • Benefits enrollment
  • Rollout of policy changes
  • Recognition awards
  • Attendance tracking & reporting
  • Witness for disciplinary actions, terminations, and layoffs
  • Completion of ECFs and other HR documentation
  • Reach out to Eugene HR Manager for direction about HR-related questions and issues.
  • Recruitment duties - prescreening candidates, scheduling interviews, pre-employment testing, onboarding.
  • Track training and testing in KPA for Ruston staff; enter new employees into KPA.
  • Event planning and Safety Bingo coordination.
  • Manage SQDC Board (Safety, Quality, Department Billing, Cost).
  • Accounting & Payroll duties - EOS sheets & corrections, manage petty cash, AP/AR.
  • Close out shop orders in VET.
  • Answer multi-line phone system and direct calls as required.
  • Greet customers and vendors upon arrival and direct to appropriate contacts.
  • Maintain office supply inventory and order employee swag.
  • Read and route incoming mail and process outgoing mail.
  • Organize and maintain office common areas.



Education Requirements



  • High school diploma or GED required.
  • Associate degree, business coursework, or administrative support training preferred.
  • Associate or bachelor's degree preferred.



Experience Requirements



  • At least one year of administrative, office support, receptionist, or clerical experience preferred.
  • Strong organizational skills with the ability to prioritize multiple responsibilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office and common office software.
  • Professional demeanor with strong attention to detail and customer service skills.
  • Valid driver's license required for occasional local travel and office-related errands
  • 2+ years of experience as a receptionist, office assistant, or in a related administrative role.



Preferred Qualifications



  • Previous experience supporting multiple departments or executive staff is beneficial.
  • Experience with scheduling, document preparation, recordkeeping, and office coordination is preferred.
  • Familiarity with business software, office equipment, and data entry systems is considered an asset.
  • Individuals who demonstrate initiative, adaptability, and professionalism are well positioned for success as a Office Manager.



Physical Capabilities



  • Ability to remain seated or stand for extended periods while performing office tasks.
  • Frequent use of computers, telephones, and other standard office equipment.
  • Ability to communicate effectively with coworkers, customers, and visitors.
  • Lifting/Carrying: Ability to occasionally lift, carry, push, or pull office supplies, files, or materials up to 25 lbs.
