Primary Duties & Responsibilities
- Travel Coordination & Documentation
- Arrange travel logistics for the Academy team, including lodging, flight options, and ground transportation, and meeting itineraries.
- Prepare and route University Travel Authorization forms and complete post-travel expense reimbursement requests within university timelines.
- Meeting & Calendar Coordination
- Manage and maintain administrators' schedules, anticipate conflicts, and prepare for key meetings with agendas, materials, and follow-up action items.
- Gather agenda items, record detailed meeting minutes, track internal action items, and follow up with team members to ensure operational continuity.
- Event & Logistics Support
- Provide comprehensive logistical assistance for academy events, including reserving campus venues, coordinating third-party catering vendors, and arranging guest parking permits.
- Manage event invitations, track RSVPs, maintain accurate guest databases, and handle post-event follow-up documentation and thank-you notes.
- Office Operations & Supply Procurement
- Oversee office management, coordinating facility maintenance requests and space organization.
- Act as the primary initiator for routine supply procurement, utilizing NC State MarketPlace to purchase office materials, event consumables, and media technology equipment.
- Manage the collection, scanning, and digital archiving of all itemized receipts to assist the Program Manager with monthly Purchasing Card (PCard) reconciliation.
- Other Duties as Assigned
- Provide ad-hoc administrative support for academy initiatives as required by leadership.

| Minimum Experience/Education |
High school diploma or equivalency and one year of administrative or clerical experience; or an equivalent combination of training and experience. |

- Exceptional organizational skills and acute attention to detail.
- Proficiency with Google Suite and Microsoft Office
- Proactive problem-solving abilities
- Capable of handling sensitive information with professionalism and sound judgment.
- Skilled in coordinating schedules, planning meetings and events, and managing logistics.
