POSITION SUMMARY

The Occupancy Planning Senior Analyst provides operational support for JLL's Occupancy Planning and Management platform, helping coordinate workplace planning initiatives, client engagement activities, reporting, and team processes across multiple regions. This role supports day-to-day occupancy planning operations through strong organization, communication, and process management while delivering light reporting and analytical support.

The ideal candidate is highly collaborative, detail-oriented, and client-focused, with the ability to manage multiple priorities in a fast-paced environment. This position requires strong operational coordination skills, proactive communication, and the ability to foster productive relationships with clients, teammates, and cross-functional partners.

KEY RESPONSIBILITIES

Occupancy Planning Support (40-50%)

  • Facilitate onboarding of new hires to the Occupancy Planning team and maintain onboarding materials
  • Serve as a Subject Matter Expert (SME) for Space Sharing processes, including training, reporting, client coordination/ communication, and remediation protocols
  • Coordinate cross-regional workplace initiatives and operational tasks
  • Maintain and continuously improve occupancy planning tools and templates
  • Collaborate with cross-functional teams to support development of new tools, templates, and process improvements
  • Establish and maintain document retention systems and team management protocols
  • Support monthly and quarterly reporting activities
  • Act as an Occupancy Planning representative for workplace systems and related operational processes
  • Support miscellaneous operational and client requests as needed

Change Management & Process Coordination (20-30%)

  • Support occupancy planning process consistency and adherence to account deliverables
  • Serve as a resource for client design guidelines impact to OP
  • Support development request processes and coordination related to workplace systems and reporting
  • Participate in annual Occupancy Planning Playbook updates to ensure current processes and standards are documented
  • Organize and facilitate training sessions and meetings for cross-regional teams
  • Maintain team distribution lists and communication resources

Client Support & Relationship Management (10-20%)

  • Function as a liaison for Lines of Business (LOB) client contacts and occupancy planning stakeholders
  • Coordinate and facilitate recurring stakeholder forums and any other communications
  • Maintain and update stakeholder guidance documentation and communication resources
  • Respond promptly to client inquiries and operational requests with a solution-oriented approach
  • Foster strong working relationships with clients, partners, and internal teams through proactive communication and dependable follow-through

Client Deliverables & Reporting (5-10%)

  • Support development and coordination of monthly and quarterly client deliverables
  • Assist with reporting, data validation, and presentation materials
  • Ensure accuracy and consistency across occupancy planning documentation and reporting outputs

REQUIRED QUALIFICATIONS

  • Bachelor's degree required
  • 5-10 years of relevant experience in occupancy planning, workplace operations, facilities management, move management, project coordination, or related fields
  • Strong understanding of occupancy planning and workplace operations best practices
  • Familiarity with design, project management, facilities management, or architecture concepts
  • Experience supporting client-facing operations within corporate real estate or workplace environments preferred
  • High proficiency in Microsoft Excel, including complex formulas, pivot tables, advanced functions, and reporting
  • Proficiency in Microsoft PowerPoint, SharePoint, Visio and Word
  • Experience working with space management systems, including FMS
  • Strong written and verbal communication skills
  • Strong organizational, problem-solving, and customer service skills
  • Ability to work independently and collaboratively as part of a team
  • Self-motivated, dependable, and detail-oriented with the ability to manage multiple priorities and deadlines

Estimated compensation for this position:

85,000.00 - 100,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
