Administrative Assistant III - Oculoplastics, Westwood

We are seeking a highly organized and patient-centered Surgery Scheduler to coordinate all aspects of surgical coordinating for ophthalmologists in our Orbital and Ophthalmic Plastic Surgery(oculoplastics) clinic andensuring a concierge-level patient experience.Responsibilities include, but are not limited to:

• Coordinate and schedule patient surgical and laser procedures for assigned faculty physicians
• Schedule required pre-operative testing and appointments
• Verify patient insurance coverage and obtain necessary prior authorizations
• Serve as a patient liaison, guiding patients through the pre- and post-operative process
• Maintain accurate documentation and patient records within the electronic medical record system
• Provide general clinic and administrative support as needed to ensure smooth daily operations

Salary Range: $30.36-43.49 Hourly

Our ideal candidate will have strong background in surgery coordination, authorizations, and direct collaboration with providers, ideally gained within a fast-paced medical setting, who can effectively navigate complex clinical environment.

Required:

• Expertise speaking clearly and distinctly, using appropriate vocabulary and grammar, to resolve conflicts, obtain and convey information to individuals, both in person and over the phone. Skill in speaking clearly and distinctly on the telephone to receive and impart information from/to staff and physicians.
• Skill in organizing and following through on projects with minimal supervision and ability to coordinate activities to guarantee timely completion of joint projects. Demonstrated ability to follow through with tasks under minimal supervision.
• Ability to handle projects independently, set priorities, organize and analyze information and material while performing a variety of duties with frequent interruptions and simultaneous deadlines.
• Ability to multi-task, being efficient and productive under a heavy rotation of phone calls.
• Skill in customer service, dealing with unhappy patients, engendering trust and loyalty among customers (patients and referring physicians) and demonstrated skill in developing and maintaining cooperative working relationships with intra and extramural offices and organizations.
• Ability to work in a team environment and foster teamwork. Excellent interpersonal skills including the ability to deal effectively with physicians, staff and patients while working under the pressure of a busy workload.
• Skill in researching, developing, and coordinating complex and varied special projects.

Preferred:

• Experience working in the ophthalmology setting.
• Working knowledge of current third-party payor systems including managed care and government programs; familiarity with current billing practices.
• Detailed knowledge of the structure of the UCLA system. Knowledge of the UCLA Medical Center organizational structure.
