Accounting Assistant

Role Overview

The Accounting Assistant supports the Accounting Department by performing a variety of routine accounting and administrative functions. This role is responsible for assisting with both Accounts Payable and Accounts Receivable processes, maintaining accurate financial records, and providing general accounting support. The position is considered an entry-level accounting role and does not perform higher-level accounting duties such as financial statement preparation or account reconciliations at a Staff Accountant level.

Key Responsibilities

Accounts Payable (AP)

  • Process invoices accurately and timely
  • Match invoices with purchase orders and receiving documentation
  • Prepare payments (checks, ACH, or wire transfers) for approval
  • Maintain vendor records and respond to vendor inquiries
  • Assist with expense report processing and verification

Accounts Receivable (AR)

  • Record incoming payments and apply them to customer accounts
  • Monitor outstanding balances and assist with collections follow-ups
  • Maintain accurate customer account records
  • Resolve basic billing discrepancies in coordination with internal teams

General Accounting & Administrative Support

  • Enter accounting data into the financial system with accuracy
  • Maintain organized electronic and physical accounting files
  • Assist with month-end close activities as assigned
  • Prepare routine reports and schedules for the accounting team
  • Support audits by gathering requested documentation
  • Perform other accounting or administrative duties as assigned

Qualifications

Required:

  • High school diploma or equivalent
  • Basic understanding of accounting principles
  • Strong attention to detail and accuracy
  • Proficiency in Microsoft Excel and other Microsoft Office applications
  • Ability to manage multiple tasks and meet deadlines
  • Strong organizational and communication skills

Preferred:

  • Associate's degree or coursework in Accounting, Finance, or a related field
  • Prior experience in Accounts Payable, Accounts Receivable, or accounting support
  • Experience with accounting or ERP software (e.g., QuickBooks, NetSuite, SAP, etc.)
