Purpose: To manage group reservations and group blocks assigned by the reservations supervisor or manager by assisting meeting planners and organizers with rooming lists, pick up reports, and billing setup for their reservations.
Essential Functions:
Maintain positive guest relations at all times.
Able to perform job functions with attention to detail, speed, and accuracy
Able to prioritize and organize work
Make / Change / Cancel reservations
Liaise with Sales Team and Convention Services in coordinating group bookings
File Reservations and back-up material.
Process confirmations as needed.
Enter/maintain Group blocks in the PMS systems.
Make group webpages
Input group blocks in ORS/OPMS within 72 hours of receipt following the LSOP on building group blocks
Maintenance of group blocks to release room types not required as rooms pickup
Upkeep and maintenance of complete detailed group files for every documentation regarding the group resumes.
Verification of the VIP, ETA, billing, arrival and departure sates, room types based upon group resumes.
Ensure group blocks, group rooming lists, billing and cut off dates are maintained.
Process Rooming Lists accurately and in a timely manner
Pre-Block all groups needs for suites, villas, and connecting rooms
Ensure all group billing, routing, master accounts, A/R accounts are set in compliance with Omni SOP's
Ensure all group reservations received via regular mail, fax, or email are entered into the PMS accurately and in a timely manner.
Follow all Omni credit policies
Control suite inventory and specialty rooms according to suite request policy.
Monitor group pick up and advise DORM if group should be re-forecasted
Report to the DORM any changes in group pick up that would effect selling strategies
Adhere to the selling strategies set by the DORM
Maintain group files according to group check list i.e. history, addendums, current contract, suites blocked, VIP's identified, etc.
Attend Pre-convention meetings
Attend Resume meeting
Attend Group Pick up meeting
Attend Reservations departmental meeting
Qualifications:
Previous Reservations/Front Office Experience
Previous working knowledge of ORS/OPMS/Delphi
Customer Service Oriented
Professional telephone etiquette
Knowledge of Microsoft Office Applications
Excellent Communication Skills
Ability to Multi-Task
Physical Requirements:
Remain in stationary position for long periods of time throughout work shift
Come to work on time daily
Dressed according to Omni Appearance Standards with a name tag and a smile.
Work Environment:
Interior of Hotel behind the Front Office
Small office environment
Minimal traffic and under variable noise levels.
Tools/Equipment:
Desk, computer, printer, calculator, telephone
Photo copy machine, facsimile machine
writing utensils, filing cabinets, file folders, and paper
