Summary: The Coordinator, Board of Governors, coordinates and provides administrative support for governance operations, nominations processes, committee/workgroup activities, and governance-related projects supporting the American College of Surgeons Board of Governors. This role provides administrative and coordination support to Governors, volunteer leaders, specialty societies, and internal stakeholders to ensure governance activities are completed accurately and on schedule. Working under general direction, the Coordinator coordinates governance activities, maintains governance systems and records, prepares communications and meeting materials, tracks nominations and committee activities, and supports governance operations in accordance with established procedures. This position coordinates and supports operational activities, identifies routine process issues for leadership review, and supports the effective administration of governance operations across the College. This exempt position will report to the Senior Manager, Board of Governors in the division of Member Services. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote. The anticipated salary range for this position is $56,100 - $64,000 (commensurate with related experience). Responsibilities: Governance & Committee Coordination
- Coordinate operational activities supporting the Board of Governors, Executive Committee, five pillars, one collaborative, and multiple workgroups, task forces, and committees.
- Provide administrative support to Governors, committee chairs, workgroup leaders, and volunteer leadership.
- Maintain governance records, committee rosters, appointments, leadership terms, onboarding, and offboarding activities.
- Prepare agendas, meeting materials, reports, presentations, minutes, and supporting documentation for governance meetings.
- Coordinate Board of Governors activities associated with Clinical Congress, including the Annual Business Meeting, Leadership & Advocacy Summit, and other governance events.
- Track committee activities and follow up on action items and deadlines.
Nominations & Appointments Coordination
- Coordinate Governor nominations and appointment processes from solicitation through onboarding and implementation.
- Coordinate nomination systems, workflows, reporting, communications, timelines, and documentation.
- Maintain leadership records and governance documentation related to appointments, terms, and succession planning.
- Support the nomination and election activities of College Officers, Regents, and the Board of Governors Executive Committee, and other leadership appointment processes.
- Ensure governance processes comply with ACS policies, bylaws, and established procedures.
Stakeholder Communications & Support
- Provide administrative support and respond to inquiries from Governors, specialty societies, chapters, volunteer leaders, and internal stakeholders.
- Draft and coordinate governance communications, announcements, correspondence, reports, and presentations.
- Facilitate communication between Governors, College leadership, and ACS staff partners.
- Respond to routine stakeholder concerns and escalate sensitive issues as appropriate.
Governance Data & Systems
- Maintain governance-related systems, including Aptify, BoardEffect, SurveyMonkey, and related technologies.
- Maintain accurate records related to Governor participation, appointments, committee assignments, and leadership service.
- Prepare and maintain governance reports, dashboards, and data summaries for leadership review.
- Conduct routine data reviews and support approved process improvements to maintain data accuracy.
Project Support & Coordination
- Coordinate governance projects and operational initiatives.
- Maintain project plans, timelines, deliverables, and implementation tracking.
- Coordinate project activities and follow up with internal departments and volunteer leaders.
- Support ongoing governance processes and assist with implementing approved improvements.
- Track project progress and prepare status updates and summary reports.
Required Education and/or Experience:
- Bachelor's degree from an accredited college or university is required.
- 3+ years of experience in governance administration, association management, nonprofit operations, committee management, member services, or related professional experience is highly preferred.
- Strong written and verbal communication skills, along with demonstrated ability to coordinate multiple assignments, maintain deadlines, and manage competing priorities
- Strong working knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint) is required. Experience with SurveyMonkey, BoardEffect, Aptify, and related governance technologies is a plus.
- Ability to maintain confidentiality and exercise discretion when handling sensitive governance matters.
- Experience supporting boards, committees, volunteer leadership groups, or membership organizations strongly preferred.
