Job Description Summary:Manages projects or functions specific to council, governance, and/or membership activities such as council and officer nominations, elections, and member services; bylaws, policies and procedures; meetings and records of the council and its committees; and annual meeting support. Develops related materials, provides advice on matters related to area of responsibility, and ensures successful management and execution of assigned projects and area of responsibility.
Applies specific and professional-level knowledge to perform responsibilities requiring the identification and analysis of complex factors to determine best course of action. Uses independent judgment and discretion, but may receive guidance or expertise from supervisor or higher- level staff on more complex problems. Establishes processes and/or procedures to ensure the effective and efficient operation of assigned functions.
Job Description:
ESSENTIAL JOB DUTIES:
1. Develops and manages one or more membership or governance projects and functions. Develops processes and procedures for assigned area. Works with internal resources and external contractors to ensure successful execution. Successfully administers projects and/or functions on an on-going basis.
2. Serves as primary liaison for council, officers, and organizational partners, providing guidance and support to members on topics relating to assigned areas of responsibility (e.g., council meeting, procedures, and elections).
3. Elections support: Plans and conducts meetings. Drafts and distributes meeting agendas. Interprets and ensures adherence to bylaws. Answers procedural questions about the election process. Monitors election timeline and ensures deadlines are met. Reviews sectional balloting reports for potential problem issues and resolves conflicts and/or proposes resolution to problems. Manages a variety of Internet and mail balloting processes and post-election activities, involving preparation of printed balloting materials, creating and posting of online materials, and validating results. Prepares and updates statistical reports. Develops and coordinates notifications, acceptances, announcements, press releases, and materials for distribution to members. Coordinates new member orientation and induction ceremonies. Travels to site location of members/chairs and provides training to chairs and their staff.
4. Supervises temporary help. Ensures delegated tasks are completed accurately and in a timely fashion. Ensures consistent application of organizational and departmental policies. May supervise Membership Associates or Membership Assistants.
5. Coordinates financial activities related to area of responsibility. Approves invoices for related expenses. Provides input into the annual budgeting process.
6. Arranges for and oversees vendors services related to area of responsibility and ensures quality and timeliness of services provided.
7. Creates and maintains site content related to area of responsibility and provides instructions/guidance to member content managers. Provides direction and assistance to sections in establishing new websites.
8. Serves as primary contact for members and the general public. Responds to inquiries. Works with the Office of News & Public Information (ONPI) on news releases and other media matters. Serves as spokesperson for the membership department as appropriate.
9. Assists Director in managing annual meeting invitations, preparations, and onsite registration process
10. May oversee the committee appointment process, preparing statistical analyses and compiling lists of potential committee members based on analyses.
11. Monitors effectiveness of processes and recommends and implements improvements.

Required Knowledge, Skills, and Abilities: Excellent project management skills, with demonstrated ability to set priorities, manage multiple activities, and meet deadlines. Knowledge of database and Internet tools. High level of attention to detail and accuracy. Strong commitment to customer service. Advanced Microsoft Office skills, including Word, Excel, and Outlook and knowledge of Adobe Acrobat. Impexium experience preferred. Ability to solve intellectual problems of appreciable complexity and variety using originality and ingenuity. Ability to operate using appreciable latitude for independent judgment and actions. Ability to work successfully in a team environment. Ability to develop relationships with co-workers and employees in other National Academies' departments through effective communication. Excellent written and verbal skills with a proven ability to effectively interact with all levels of employees.
Minimum Education/Training Requirements: Bachelor's degree in a related field, or equivalent knowledge.
Minimum Experience: Three years of related professional experience.
Physical Capabilities: Ability to sit at a desk and computer for extended periods of time.
Required Licenses, Certification or Registration: None.
Supervisory Responsibilities/Controls: Reports to Director. General direction is provided.
Work Environment: Office environment with occasional travel between National Academies' facilities and to off-site locations. Compensation & Benefits: An estimated compensation range for this position is $73,760 - $92,190. Compensation offered to the selected candidate will be based on the candidate's relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters. Note it is not typical for a candidate to be hired at the higher end of the range. This is a benefits-eligible position.
