Rutgers, The State University of New Jersey is seeking a Senior Department Administrator Supervisor for the Theater Department, Mason Gross School of the Arts (
MGSA). Reporting directly to the Chair, Theater Department and dotted line reporting to Associate Dean for Finance & Administration of
MGSA, the Senior Department Administrator serves as a chief non-academic officer for the Theater Department.
Among the key duties of the position are the following:
- Provide administrative leadership and management of budgeting, accounting, purchasing, personnel, facilities coordination, events, and all administrative operational and financial functions.
- Oversee a team of administrative staff and ensuring an inviting, professional, responsive atmosphere for students, faculty, staff and other stakeholders.
- Prepare, review and analyze financial data and reports for internal and external purposes.
- Maintain records and regularly reconcile accounts and reports to ensure that expenses are within budget.
- Manage faculty and staff personnel and payroll processes.
- Interact extensively with the University community, students and prospective students, the public, and external agencies and organizations.
- Work with a professional demeanor and multitasks in a fast-paced, stakeholder focused, team environment and complete work with an understanding of the mission, vision, role, and goal of the Department, MGSA, and RU, and the role the tasks and responsibilities of this position play in achievement of these goals.

Qualifications
| Minimum Education and Experience |
- Bachelor's degree and at least five (5) years of administrative management experience, preferably in a higher education and/or arts environments.

- Outstanding organizational, leadership, communication, and management skills.
- Strong attention to detail and commitment to accuracy, balanced with an ability to meet deadlines. Outstanding multi-tasking and strategic planning skills.

- Strong computer skills and proficiency with software for developing spreadsheets, budget forecasts, balance statements and other accounting reports.

- Regularly and extensively uses MS Office Suite, Cornerstone, Discoverer/Tableau, Course Scheduling System, ROCS, RAPSS, Researcher's Dashboard, HCM, ECRT, MGSA appointments system, Canvas, and know or will learn any and all systems Rutgers University (RU) uses for grants management and accounting, travel and expense reimbursement, parking, telephones, payroll, recruitment, personnel and performance management, absence reporting, course scheduling, facilities and space management, and knows or will learn all the equipment, software, and specialized materials needed to support the effective and efficient performance of this position.

- Fast paced, deadline driven work environment.
- Department physical footprint is spread across multiple buildings on the Douglass campus. Occasional travel from building to building is required.
- Occasionally travel to other New Brunswick campus for meetings and to annual departmental event venues in New York City required along with hands on support for these events.
