Position Summary: The Training Coordinator supports non-aircraft specific Ground Training operations at the Training Center by providing administrative, logistical, and coordination support. This position assists with training execution, new-hire onboarding, instructor support, vendor coordination, recordkeeping, and regulatory compliance activities. This role also serves as the central point of contact between Ground Training and internal departments, ensuring alignment, communication, and seamless execution of training operations.

Major Job Accountabilities:



  • Serve as the first point of contact for the training center, welcoming and assisting visitors, pilots, flight attendants, contractors, vendors, and employees in a professional manner.
  • Maintain clear, courteous, and professional communication through all channels; respond to inquiries and route requests to the appropriate individuals or departments.
  • Provide administrative and clerical support to department leadership as needed, including data entry, document preparation, filing, copying, scanning, binding, report generation, research, presentations, meeting minutes, and expense report reconciliation.
  • Manage incoming and outgoing communications, including screening and routing telephone calls, coordinating outgoing mail and shipments (FedEx), and arranging USPS pickup and delivery.
  • Maintain office and training center supplies, including inventory tracking, anticipating needs, placing and expediting orders, and ensuring beverage and break areas are stocked and maintained.
  • Coordinate departmental and training-related meetings, including 2nd floor Conference Room scheduling, calendar management (Outlook), catering arrangements, and coordination with IT for audio/visual support.
  • Maintain and update internal contact resources, including the MIA Phone Contact Sheet and email distribution lists, ensuring accuracy and timely distribution.
  • Sends notification email to instructors and onboarding team with personnel details and schedule of events for each new hire class.
  • Coordinate/schedule of vendors for New Hire Classes (fingerprints, uniform fittings, immunizations and ground transportation).
  • Collection and review of new hire Corporate Card Applications and submission to Corporate Card support team for processing.
  • Responsible for the creation of crewmember profile in ARINC for CASS/KCM access and issuance of Known Crewmember (KCM) badges.
  • Submits class personnel data to uniform vendor for creation of uniform user accounts.
  • Coordination of end of training items for distribution (KCM badges, wings, reflective vests)
  • Prepares Captain Upgrade Certificates and boxes for Upgrade ceremonies and ship to Erlanger, KY (ERL) office.
  • Provides support to Senior leadership during MIA visits. Coordinating transportation, hotel accommodation changes and restaurant reservations.
  • Handle sensitive information in a confidential manner
  • Conduct research utilizing applicable resources including FAA regulations (FARs), company manuals, approved courseware, and industry reference materials to support curriculum development, standardization, and regulatory compliance.
  • Develop and maintain a working knowledge of applicable FARs, Part 121 Subparts N and O, AQP principles, and the Atlas Air Flight Operations Training Program, sufficient to support curriculum updates, audits, documentation, and training coordination activities.
  • Support the review and audit of non-aircraft specific ground training programs as directed by the Senior Manager, Ground Training, including verification of course content, instructional materials, training records, and standardization across programs; document findings and track follow-up actions.
  • Develop, update, format, and maintain classroom, Learning Management System (LMS), and reference courseware for non-aircraft specific ground training in coordination with the Senior Manager, Ground Training, Publications and E-Learning team, ensuring materials reflect approved curricula and regulatory requirements.
  • Serve as the primary point of contact for Ground Instructors regarding day-to-day training support needs, including classroom equipment, training materials, supplies, and systems access; escalate instructional, scheduling, or performance-related issues to the Senior Manager as appropriate.
  • Serve as the primary training process and standardization tracker, maintaining centralized records of curriculum updates, process changes, approvals, and implementation status to support consistency, version control, and regulatory compliance.
  • Act as the primary liaison between Ground Training and internal departments and teams (e.g., Fleet Training, Crew Training Administration, Publications, IT, Scheduling) for matters related to non-aircraft specific ground training, ensuring effective communication and coordinated execution.
  • Maintain an accurate inventory of ground training equipment, devices, and instructional resources, coordinating maintenance, replacements, and availability to ensure training reliability, standardization, and compliance with training program requirements.
  • Perform other duties as directed by the Senior Manager, Ground Training.


Qualifications:



  • Minimum high school diploma or equivalent years of experience.
  • Minimum of two (2) years of experience in an administrative, office support, or coordinator role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Above-average proficiency in spreadsheet tools, with the ability to organize data, track information, and generate reports.
  • Demonstrated ability to maintain a high level of confidentiality and exercise sound judgment and discretion.
  • Proactive, service-oriented mindset with a strong desire to support others and contribute to a positive and professional work environment.
  • Knowledge of FAA Federal Aviation Regulations (FARs) is a plus.
