The University of Virginia School of Medicine (UVA) seeks an experienced, strategic Program Administrator to serve as the operational leader for its NIH-funded Medical Scientist Training Program (MSTP). Working with MSTP faculty leadership-including two Co-Directors and three Associate Directors- and reporting to the Senior Associate Dean for Research, the Program Administrator helps execute program strategy, ensure compliance, and support trainee success. The UVA MSTP combines two full degree programs into a single, longitudinal training pathway spanning 7 to 9 years, integrating medical education with advanced biomedical research. This role provides the senior-level administrative leadership needed to manage a complex, multi-phase training program across multiple schools and departments. In addition to overseeing day-to-day operations, the Program Administrator manages trainee tracking, reporting, and financial coordination for the NIH T32-funded training program. This position will also manage the financial and operational functions of the MSTP unit within the School of Medicine, including the submission of an annual budget, management of monthly financials, and navigation of any HR and finance related items. Program Scope The UVA MSTP operates at the intersection of the MD curriculum and ten PhD programs. These PhD programs are housed within the Biomedical Sciences (BIMS) and Biomedical Engineering (BME) graduate programs and span multiple departments and disciplines across the School of Medicine, School of Engineering, and College of Arts and Sciences. Trainees transition between pre-clinical medical coursework, PhD didactics and qualifying exams, full-time dissertation research, and clinical clerkships and advanced electives. Each phase has distinct academic policies, calendars, evaluation systems and compliance requirements. The Program Administrator is responsible for coordinating these transitions with proactive oversight to prevent administrative delays, funding interruptions, or risks in academic standing. The role serves as a key liaison across the School of Medicine, Graduate Programs Office, multiple PhD programs, and other institutional partners to support continuity across all phases of training. Key Responsibilities
This role will partner with the faculty leaders, to lead the academic vision, mentorship, recruitment, and external representation for the MSTP. The Program Administrator will safeguard UVA's investment in physician-scientist training, strengthen program efficiency, and support trainee success, reinforcing the program's competitiveness and positioning it for continued NIH funding.
