POSITION SUMMARY:

The Senior Administrative Assistant provides high-level administrative and project support to the Development Department, including executives and their teams. This role is responsible for managing daily operations, coordinating projects, and serving as a key liaison to ensure effective communication and organization across the department. The ideal candidate is highly organized, proactive, and able to anticipate needs while managing multiple priorities in a fast-paced environment.

ESSENTIAL FUNCTIONS:



  1. Provides advanced administrative and project support to department leadership and team members
  2. Manages complex executive calendars, including prioritization, conflict resolution, and coordination across multiple stakeholders
  3. Anticipates executive and team needs, proactively addressing scheduling and administrative challenges
  4. Coordinates meetings and events, including preparing agendas, presentations, and supporting materials
  5. Captures, summarizes, and distributes meeting notes, including action items and follow-ups
  6. Tracks and coordinate departmental projects, ensuring timelines, deliverables, and stakeholder follow-through
  7. Serves as a liaison between executives, internal teams, and external partners; draft and manage professional communications
  8. Maintains organized departmental records, correspondence, and document signature processes
  9. Coordinates document execution processes, including DocuSign workflows and signature tracking, with an emphasis on real estate transactions and time-sensitive agreements
  10. Processes expense reports, credit card coding, invoices, sponsorships, conference-related payments, and check requests accurately and in a timely manner
  11. Arranges travel accommodations and logistics for executives and team members
  12. Plans and coordinate conferences, meetings, and special events
  13. Identify and implement improvements to administrative processes and maintain standardized procedures
  14. Maintains strict confidentiality and demonstrate professionalism in all interactions
  15. Performs other duties as assigned


QUALIFICATIONS: (Knowledge, Skills, Abilities, Education, Training and Experience.)



  • Associate's degree required, or equivalent combination of education and relevant work experience
  • Two (2)+ years of scheduling or calendar management experience preferred; Prior administrative experience required
  • Proficiency in Microsoft Office Suite (Word, Excel, Access, and PowerPoint)
  • Strong verbal, written, and interpersonal communication skills in English
  • Ability to perform mathematical calculations at a basic to intermediate level
  • Ability to learn and effectively use company-specific software systems
  • Strong critical thinking and problem-solving skills
  • High level of attention to detail and organizational ability
  • Ability to prioritize workload and manage multiple projects simultaneously to meet deadlines
  • Strong project coordination skills with excellent follow-through
  • Ability to exercise sound judgment and maintain professionalism in all interactions
  • Demonstrates a high level of discretion and confidentiality
  • Maintains a neat, clean, and professional appearance consistent with company standards
