Job Summary:

The Project Coordinator for Post Construction Services plays a crucial role in being a liaison between the project accounting team and the project management team. They are responsible for ensuring that all billing processes, job setups, and contract reviews are conducted accurately and timely. They are also responsible for maintaining strong relationships with clients and resolving any project-related administrative issues that may arise. This role requires excellent organization, as well as a strong attention to detail, and the ability to improve processes and procedures.

Your Responsibilities as a Project Coordinator:



  • Createnewproject set upsfor the Project Managers.Make sure that they are completedtimelyand accuratelyand provided to the project accounting team for entryintothe company's accounting system.
  • Review contracts, recommend changes, and providedefinitiveversion to senior leadership for signature.
  • Create change orders for the PMs, send to client, follow up.
  • Work in close collaboration with theprojectaccounting team as well as the project managers and sales team, toensurethat the billing processes are aligned with overall businessobjectivesand client satisfaction goals.
  • Monitor and managethe AR aging for the Project Managers, especially the accounts past due90+days andlead thecollection efforts to ensuretimelycollection of funds from clients for services performed.
  • Address and resolve client inquiries and disputesregardingadministrativeissues,provideexcellent customerserviceandmaintainpositive relationships.
  • Manage Prevailing WageDAS forms for apprentice and similar Prevailing Wage needs.
  • Perform other duties and/or complete other projects assigned byseniorleadership team.
  • Create/amend Bluebeam maps for PMs.
  • Help Project Managerswith daily scheduling.
  • Helprespondingto emails.
  • Review ofprofit and lossfor jobsfor ProjectManagers.


What we're looking for:

Knowledge, Skills, and Abilities:



  • Proficient in Microsoft Excel.
  • Excellent oral and written communication skills.
  • Soundanalytical andcritical thinking skills.


Educational& Experience:



  • 2 years of project coordination experience.
  • High School Diploma or equivalent.
  • Work experience in accounting preferred.
  • Construction industry experiencepreferred.
  • DelTekERPand HubSpotsoftware experience preferred.


Work Environment &Physical Requirements:



  • Work is performed in a typical indoor officeenvironment.
  • Prolongedperiods ofsitting at a desk and working on a computer.
  • Mustbe able to liftand carryofficeitems(e.g.,paper, laptops,etc.) up to 15 pounds.
