About the Opportunity

The role of the Business Operations and Executive Assistant Lead is to optimize business operations, support Executive Team member(s) and their teams in a variety of functional areas. Your role as the Lead, Business Operations will be to work with Executive Leadership to drive strategic and scalable growth.

Responsibilities:

Executive Support & Business Operations

  • Organize and manage complex calendars for Executive Team member(s).

  • Assist with travel arrangements and monthly expense reporting.

  • Coordinate meeting preparation and compile and distribute thorough meeting notes with clear action items and owners.

  • Prepare and distribute reports and provide administrative support for all business review meetings.

  • Trained to use Procore to explore improvement areas, capture high level action planning items, and tracking regional impact on department initiatives.

  • Host office hours for Executive Team member(s) and leadership team around member experience initiatives.

  • Collaborate with the HR team to ensure needs are met and internal approval processes, signatures, and local document management are being followed.

  • Lead team communications for Executive Team member(s), plan regional connection moments, communication channels and All Hands preparing agenda, deck, and recognition.

  • Control and assign the leadership T&E budget.

  • Collaborate with Executive Leadership and cross-functional teams on ad hoc projects.

  • Coordinate and deliver local directorship obligations across entity level admin, notary requirements, mailing, and meeting tracking.

  • Oversee company-level reporting, qualitative and quantitative mechanisms to facilitate actionable processes and solutions, and develop territory level KPIs.

  • Engage with teams to provide specific operational projects for Executive Team member(s)' portfolio and program-level leadership support when needed.

  • Manage cross-functional projects or initiatives; bring together important stakeholders and help drive decisions.

About You
  • 3+ years professional experience in a business operations role

  • Work tactically, quickly and efficiently to support senior leadership.

  • A proven problem solver and able to make creative, forward-looking decisions.

  • Excellent Microsoft Excel and Powerpoint skills (as well as Google Sheets and Google Slides).

  • Excellent project management skills.

  • Excellent communication skills and ability to manage complex projects with many cross-functional stakeholders.

  • Ability to work with executives and senior stakeholders.

  • Advanced verbal and written communication skills in English are required.

Compensation & Benefits

Base Pay:$30 to $40 per hour

Incentive Compensation:WeWork employees are eligible to participate in an incentive plan specific to their role. Your recruiter will detail what incentive plan is applicable to this specific role. WeWork incentive plans are subject to the terms of the applicable incentive compensation plan, which will be made available to you after commencing employment. WeWork reserves the right to amend its incentive plans, and nothing in this job requisition or any other document creates a right to a specific incentive plan payment.

Benefits:Full-time employees are eligible for comprehensive benefits (subject to the terms of applicable plans/policies/agreements, which will be made available to you after commencing employment), including: 20 days of PTO, approximately 13 paid holidays, and 80 hours of paid sick time per full calendar year; 16 weeks paid parental leave; competitive healthcare benefits; 401k plan; and life and AD&D insurance.
