About the College of Dentistry
The University of Illinois at Chicago College of Dentistry (UIC COD) is seeking candidates to join a worldwide leader in oral health education, clinical care and research that is patient -centered and evidence-based as full-time Dental Clinic Clerks. The College of Dentistry is the largest oral health college in the State of Illinois, provides care for 35,000 patients a year, and has over 500 students seeking dental degrees including DMD, PhD and Master's programs. The Dental Clinic Clerk I is utilized throughout UIC COD in the Pre-doctoral Clinics, Specialty Clinics, and Office for Financial Affairs. The Dental Clinic Clerk I provides a variety of patient-related dental support functions, which include checking in patients, verifying insurance at the point of contact, establishing and maintaining dental charts, collecting/posting all forms of patient payments, scheduling and confirming appointments and interacting with patients at the UIC College of Dentistry Clinics.

The primary functions of the Dental Clinic Clerk I are patient-centered service and satisfaction, as well as financial responsibility for cash, collections, accounts receivable, and revenue reporting. Monitoring the accuracy of the patient accounts and patient demographic information in the patient management system are part of these responsibilities. The Dental Clinic Clerk I is responsible for generating and responding to standard reports for management and responding to patient inquiries (in person, on the phone, or via mail). In addition, the Dental Clinic Clerk I interacts with other University personnel and external agencies on an as-needed basis.

Duties & Responsibilities:
  • Posts and verifies patient account payments received via mail from third-party payers or patients or through direct interaction with the patient.
  • Point of contact for inquiries, concerns, and solutions related to patient services and account issues for Spanish and English speaking patients.
  • Primary contact for all incoming phone calls to the clinic.
  • Cash handling responsibilities for the individual clinic.
  • Assist in the gathering of data for financial reporting and statistical analysis.
  • Perform data entry of various transactions associated with collecting revenues for patient care services and patient demographic data.
  • Following College guidelines, monitors patient accounts receivable balances and adjusts account balances when indicated.
  • Confirms the validity and accuracy of patient care transactions and submits claims to third-party payers for services rendered.
  • Responds to routine patient inquiries to provide or clarify information regarding the patient's account balance.
  • The initial point of contact for patient complaints; refer issues to managing partner/clinic manager as necessary.
  • Schedule and provide appointment confirmation for routine, surgical, and specific dental procedures.
  • Report customer feedback to supervisors, student providers, and other College personnel.
  • Verify patient demographic information at the time of check-in.
  • Run and prepare standardized reports for the supervisor (i.e., production, unapproved procedures, patients not seen, or as directed)
  • Perform other related duties and participate in special projects as assigned.


Minimum Qualifications Required:

1. High school graduation or equivalent.

2. One year (12 months) of experience:

A. Certified Dental Assistant in a dental clinic facility, program, or in dentistry practice, if required by employing institution

OR

B. credit for college/university course work and/or training in dental care, health care related areas, or closely related medical/dental areas
  • 15 semester hours = six (6) months
  • 30 semester hours = twelve (12) months

OR

C. customer service/management in a medical/dental setting

Preferred Qualifications:
  • Knowledge and Experience using the EPIC electronic health record software.
