Job Summary
The Post-Award Grants Administrator is responsible for the fiscal management and compliance oversight of externally funded grants and contracts from award acceptance through closeout. This role works collaboratively with Principal Investigators/Project Directors (PIs/PDs), pre-award staff, finance, procurement, and external sponsors to ensure awards are administered in accordance with sponsor requirements, Uniform Guidance (2 CFR 200), and institutional policies. The Post-Award Grants Administrator provides expert guidance on allowable costs, budget monitoring, effort reporting, subaward management, billing, and closeout, supporting the integrity, accountability, and sustainability of the institution's sponsored programs portfolio.

Job Responsibilities




  • Review proposal budgets and justifications to ensure compliance with sponsor and institutional requirements, including fringe, indirect costs, salary calculations, cost share, and effort commitments.



  • Participate in pre-award meetings and provide guidance on allowability, compliance considerations, and account structure.



  • Support subrecipient eligibility review and risk assessment documentation.



  • Ensure proper documentation for data management, certifications, and record retention.



  • Conduct award kickoff meetings to educate PIs/PDs on roles, budget management, allowability, procurement, reporting, and compliance expectations.



  • Establish and maintain award accounts and configure budgets accurately.



  • Interpret award terms and conditions, including payment schedules, reporting requirements, and restrictions.



  • Monitor project budgets to ensure expenditures align with approved categories and regulatory requirements.



  • Review expenses for allowability and allocability and communicate discrepancies to PIs/PDs.



  • Oversee subaward financial compliance, including invoice review and payment authorization.



  • Monitor and document cost-sharing commitments.



  • Administer effort reporting processes, including distribution, verification, and corrections.



  • Support prior approval requests such as rebudgeting, no-cost extensions, scope changes, and key personnel updates.



  • Provide regular financial reports and budget updates to PIs/PDs.



  • Prepare, submit, and track sponsor invoices and drawdowns.



  • Maintain documentation for billing, reimbursements, and cash management activities.



  • Coordinate award closeout activities, including final financial reporting, reconciliation of expenditures, equipment tracking, and subaward closeout.



  • Ensure submission of required closeout documentation in compliance with sponsor and record retention requirements.



  • Communicate upcoming award end dates and facilitate final reconciliations.




Job Requirements




  • Strong knowledge of post-award grant administration, including Uniform Guidance (2 CFR 200) and sponsor regulations.



  • Experience with budget monitoring, allowability review, cost share tracking, and financial reporting.



  • Familiarity with subaward management and invoice review processes.



  • Experience with billing, invoicing, and cash drawdown procedures.



  • Ability to interpret award documents, terms, and conditions.



  • Strong analytical, organizational, and problem-solving skills.



  • Effective communication skills and ability to collaborate with cross-functional stakeholders.



  • Proficiency with financial systems and Microsoft Office applications.




Education




  • Bachelor's degree in accounting, finance, business administration, public administration, or a related field preferred.




Work Experience




  • Experience in post-award grants administration, sponsored programs accounting, or research administration required.
