Your role
As a Service Coordinator, your mission is to Support the VTS Field Service and Service Sales teams by scheduling field service repairs of vacuum equipment, providing regular updates to the Field Service Manager and BLM. You will report to Workshop Manager. You will * Administer the forward planning of all open orders, ensuring that the service department requirements are met in a timely and efficient manner. * Support the VTS Field Service Manager and set the Field Service Engineers work schedules in order to maximize efficiency and minimize work in progress. * Ensure orders are correctly allocated and released to the FSE before the visit date. * Ensure all parts are available and in the FSE's storage location or customer site prior to visit. * Liaise with customers by phone or e-mail to arrange and confirm the service visits, and ensure they are fully aware of the work and the date the work is to be carried out. * Enter and maintain all orders, to ensure all work is correctly allocated, so that quality reports can be gathered via SAP reporting facilities and other tools. * Regularly liaise with the Business Development Manager, Field Service Manager, FSEs, internal departments and other Service Centers to expedite customer requests. * Regularly liaise with the Business Development Manager and Field Service Manager in order to highlight and resolve any operational / planning problems in an effective and efficient manner. * Collate information from the FSEs in order to accurately record and maintain customer records and information. * Maintain open service issues log and support weekly review of the log during online meetings. * Undertake ad-hoc project work as and when required.

- You have Minimum of 2 years relevant service coordination and/or dispatch experience
- Degree Level - High school diploma, some college preferred.
- Experience in dealing with a fast pace and complex working environment, coordinating, and showing flexibility to change plans constantly and think ahead
- Good analytical and planning skills
- Strong knowledge of CRM systems, but SAP or C4C preferred
- Ability to work in a high-stress environment while maintaining a calm and professional demeanor
- Excellent planning capabilities, with a focus on continuous improvement
- Great empathy and internal/ external customer focus and commitment
- Good business understanding and cost consciousness
- Clear and effective verbal and written communication
- Multi-task proficiently and have the flexibility to switch between multiple tasks frequently
- Excellent verbal and written English required
- Must be comfortable with phone calls
- Proficiency in Microsoft Office, including Word and Excel
