About The Position | Major Goals and Objectives and Location Requirements:

Assist in training and directing the Move Team and help ensure workers are scheduled and available when needed. Assist in overseeing relocations and storage of furniture, office equipment, large packages, and other items. Consult on space usage/placement and oversee setups for events and meetings. Maintain office and special event furniture inventory and manage storage areas. Partner closely with events and catering teams, Building Services, and Security.

In the role of Assistant Manager, you will apply your professional expertise to facilitate the execution of daily logistical requirements for employees, clients, and guests, thereby supporting organizational business continuity.

About The Position's Contributions:

Weight % Accountabilities, Actions, and Expected Measurable Results

  • 60%: Labor Management - Employee/Contractor/Vendor Management: Assist in training and directing Move Team in moving and placement of furniture and equipment for moves, event setups, etc. Be proactive in establishing workload, ensuring the most efficient use of time and staff, documentation, etc.

    • Workflow oversight of daily board and Amenity reports to ensure work requests and setup information are prioritized and communicated to the team.

    • Compliance & Documentation: Responsible for reviewing and collecting Daily Floor Sweep Sheets and ensuring all task documentation is accurate for record-keeping.

    • Daily Briefings: Conduct briefings of pending and outstanding tasks with the team, particularly during shift transitions and at the end of the day.

    • Operational Excellence: Maintain white-glove service standards by ensuring all assignments are executed with 100% completion, including the thorough removal of equipment and maintenance of unobstructed thoroughfares.

    • Safety & Maintenance: Oversee Maintenance Program, including the repair/replacement of furniture and the safe use/storage of power tools.

    • Service Request & Ticket Management: Oversee the end-to-end lifecycle of work requests within the People Inc. Workplace App, ensuring all tickets are printed, dispatched, and documented with accurate labor time in 10-minute increments. Monitor real-time communication via Slack or text to confirm task status, manage the "open punch list" for incomplete items, and coordinate the rerouting of specialized requests to external groups like ABM or Handymen.

  • 30%: Provide hands-on assistance with furniture setups: Assist the team (as needed) with additional support of daily setups, last minute requests, and queueing up following tasks

    • Comprehensive Event Setups and Flips: Overseeing the physical arrangement and removal of a variety of furniture to execute room flips and resets (e.g., converting rooms back to their original configuration) for subsequent tasks.

    • Provide Immediate Logistics and Resource Support: Offer rapid, hands-on assistance for last-minute or ad-hoc requests.

    • Assist in Daily Team Workflow: Provide additional support to the Move Team for routine daily setups and managing workload, which involves preparing or "queueing up" following tasks

  • 10%: Supplies & Storage: Order and maintain stock of moving materials. Maintain office and special event furniture inventory systems and manage storage areas.

    • Financial/Order Oversight: Responsible for approving and placing orders for office supplies as needed.

    • Specific Inventory Management: Manage 5th Floor Furniture Room and C2 backstock.

    • Specialized Disposal: Oversee monthly Shred-Bin collection and disposal process.

The Role's Minimum Qualifications and Job Requirements:

Education: High School Diploma or Equivalent

Experience: 1-2 years relocation and/or facilities management experience preferred

Specific Knowledge, Skills, Certifications and Abilities:

  • Strong interpersonal & excellent communication skills

  • Project management or event management experience is a plus

  • Labor management

  • Strong understanding of spatial relations

  • Multitasking ability & excellent problem solving skills

  • Computer literacy (Google Docs, Excel, Calendaring, Smartphone, Inventory System use, Email. Slack messaging is a plus.

  • "Go-Getter" - Willing to take on miscellaneous tasks and projects

  • Highly organized & Detail Oriented

  • Must be available to work a regular schedule of Monday through Friday, 10AM to 7 PM

  • Ability to work flexible schedule outside of "regular hours" based on events and/or the needs of the team

% Travel Required (Approximate): 2% (may require periodic presence at events)

Pay Range

Hourly: New York: $30.00 - $37.00

The pay range above represents the anticipated low and high end of the pay range for this position and may change in the future. Actual pay may vary and may be above or below the range based on various factors including but not limited to work location, experience, and performance. The range listed is just one component of People Inc's total compensation package for employees. Other compensation may include annual bonuses, and short- and long-term incentives.
