Job Description: The job of Software Support Specialist - School Nutrition was established for the purpose/s of providing technical support to the Office of School Nutrition Services; developing instructional materials and manuals; assisting personnel in diagnosing hardware and software problems; preparing Food Service end of month reports; maintaining files/records; vendor support liaison; and assisting in the evaluation and recommendation of departmental hardware/software. This is a Full time, 12-month, 240 days position with Food & Nutrition Services, reporting to the Director and Assistant Director. Qualifications: - Strong communication skills (written and oral), strong working knowledge of computers and computer office programs. Customer service oriented, self-motivated, attention to detail, flexible and willing to do tasks not assigned to assist in the smooth functioning of the department. Maintain confidentiality. Job related experience within the specialized field is required.
- Education: Community College and/or Vocational School degree desired or study in job related area.
- Certificates/Licenses: A+ certification in Hardware and Operating System desired
- Technology qualifications: Strong background in computers to include the mechanics and functionality, as well as familiarity of software programs to include e-mail, Microsoft Office, Microsoft Windows, experience in processing data for database uploads including spreadsheets and CSV files, student information systems, education/business systems, content management systems. Background experience in software implementation, training/ general training is desired.
Essential Functions:
- Oversee and maintain computer software programs for the Office of School Nutrition Services and all school cafeterias sites.
- Oversee OSNS home page, nutrition parent website, and ACPS SNS website, email distribution lists, answering community inquiries, managing student PIN numbers and OSNS meal program enrollment [i.e., unauthorized charge reconciliation]
- General knowledge of social media and how to implement and support a social media strategy for the OSNS program.
- Maintain internal share drive files and database
- Manage delivery schedules for food service vendors.
- Maintenance of Free and Reduced Meal eligibility files, processing of direct certification compliance, and oversee state and federal level file submissions
- Assists end users and trainers for the purpose of diagnosing hardware and software problems, i.e., point of sales systems and digital menu boards
- Conducts training sessions for Food Service Managers and central office staff for the purpose of ensuring that software programs are operated effectively.
- Delivers and installs software/instructions to school Food Service Managers for the purpose of enhancing Food Service programs.
- Collaborate with Safety and Security Office to ensure requests for employee badges and building access via key card activation are accurately conducted
- Collaborate with the Training Manager on all professional development days and back to school training sessions to ensure all necessary equipment is available.
- Develops materials and conducts hands-on training (e.g. technology manuals, help sheets, etc.) for the purpose of providing computer training to school Food Service staff.
- In collaboration with Technology Services, evaluates and selects appropriate hardware and software for Office of School Nutrition Services. Maintains records of instruction and assistance for the purpose of tracking the progress of staff.
- Orders office and computer materials for the purpose of maintaining adequate inventories of required supplies.
- Maintain technology inventory for entire Nutrition Service Department.
- Prepares queries, reports, and operational documents (i.e. specialized reports such as financial reports, State and federal reports, meal participation trends, inventory, food ordering guide) for the purpose of generating needed information and meeting regulatory requirements.
- Liaison with Hot and Cold repair and preventative maintenance vendor to ensure timely and accurate fixes are conducted using internal and external databases to track repairs
- Works with Technology Services to implement and support technology-based solutions for the OSNS department.
- Communicate fairly and pleasantly with district personnel, students, and the community.
- Support the value of continuing education by attending meetings, classes, in-services and workshops as required by the School Nutrition Service Administration.
- Support the Mission Statement of the Alexandria City Public School District and the Office of School Nutrition Services Department.
- Perform other duties as needed to accomplish department goals or as assigned by the Director and Assistant Director to assist in the smooth functioning of the department.
- Aggregate data and verify accuracy of physical and perpetual inventory i.e, food [perishable and non perishable], kitchen equipment [hot and cold], I.T. hardware and ancillary equipment, tool and materials
Physical Requirements/Environmental Conditions:
- Light physical activity performing non-strenuous daily activities of administrative nature.
- Requires occasional physical exertion to manually move, lift (to 50 lbs.), carry, pull or push heavy objects or materials.
- Requires stooping, bending and reaching.
- Must work in a moderate noise environment, with computers, printers, light and heavy traffic with various climate temperatures.
- Air contaminates such as dust fumes, and/or disagreeable odors.
Compensation:
- Hourly wage $35.23 to $43.32 an hour (Additional factors in calculation, including hours, # of days, etc.)
- FLSA Status: Exempt position - This position is classified as exempt, meaning it is not eligible for overtime pay under the Fair Labor Standards Act.
Clearances:
- Criminal Justice Fingerprint/Background Clearance.
- Tuberculosis Skin Test.
- Public Health Compliance - Must follow safety and health protocols.
