TES is hiring a temporary Clerkship Coordinator to support the School of Medicine.

DESCRIPTION
  • Duration: This assignment is anticipated to last 3-4 months.
  • Compensation and Benefits: $31.19 - $34.42/hour. Eligible for Mid-level Medical Benefits, Vacation, Sick, and Holiday pay.
  • Work Schedule: Monday - Friday 8:00A - 4:30P with some flexibility.
  • Location: Hybrid: 2-3 days in La Jolla, 2 days remote.
DESCRIPTION
  • Under supervision, the Clerkship Coordinator supports the administration of third-year core clerkships within the Office of Undergraduate Medical Education (UGME) and reports to the UGME Program Supervisor as part of the clinical curriculum team.
  • The incumbent applies acquired skills, processes, and policy knowledge to support health professions education learners while coordinating day-to-day program operations.
  • This includes supporting teaching and learning activities, curriculum implementation, learner scheduling, database maintenance, compliance tracking, and accreditation-related activities.
  • In coordination with clerkship directors, department leadership, and clinical site staff, the Clerkship Coordinator supports the administration of assigned clerkships throughout the academic year.
  • Responsibilities include maintaining student schedules and enrollments in systems such as MedHub, coordinating clinical site assignments, and ensuring timely posting and communication of clerkship materials, requirements, and schedules.
  • The Coordinator monitors student completion of clerkship requirements and supports evaluation and grading processes, including facilitating mid-clerkship feedback and rotation evaluations.-The role also assists with coordinating assessments, including NBME shelf examinations, by supporting exam logistics, proctoring, and adherence to established testing procedures.
  • The incumbent communicates regularly with students, faculty, residents, and site coordinators to provide guidance on established policies, procedures, and timelines.
  • The position also assists with tracking faculty participation and supporting onboarding processes for instructors and evaluators, in alignment with institutional guidelines.
  • The Clerkship Coordinator may assists with special projects and events within UGME, provides back-up support for other programs as needed, and performs other duties as assigned.
QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Two (2) or more years of relevant experience.
  • Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.
  • Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.
  • Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner. Must have excellent communication skills.
  • Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.
  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision.
  • Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.
  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.
  • Ability to complete work and meet established deadlines in an accurate and timely manner.
  • Demonstrated ability to analyze and seek solutions to enhance user experience.
SPECIAL CONDITIONS

This position has been identified as a Mandated Reporter pursuant to the California Child Abuse and Neglect Reporting Act (CANRA) and requires immediate reporting of physical abuse, sexual abuse, emotional abuse, or neglect of anyone under the age of 18. It is the responsibility of the Mandated Reporter to ensure that they obtain proper training in order to fulfill their reporting responsibilities as required by the California Child Abuse and Neglect Reporting Act and University policy, and to complete and submit the required reports to the UC San Diego Police Department without delay.

Pay Transparency Act

Annual Full Pay Range: $65,125 - $94,858 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $31.19 - $45.43

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
