SUMMARY: The Employee Experience Center of Excellence (COE) is responsible for all aspects of the employee life cycle from post-hire to termination. This position provides administrative support for the Employee Experience COE for assigned markets or business units. ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Personally contributes to the Bank's Mission and Vision Demonstrates the Pledge Values. Serves as ambassador for the team when interacting with employees across all levels and business lines. Handles incoming questions or issues when possible or routes to the appropriate team member. Compiles data, writes or assists in writing reports and correspondence as requested. Reads and evaluates incoming correspondence and proposes responses to issues and questions when forwarding to the appropriate team member. Performs annual renewal tasks related to the SAFE Act and the NMLS system. Supports employees related to FMLA questions, communications, processing and escalates as needed to the Corporate HR Leave Officer. Processes terminations in the HRIS system and produces an exit paperwork packet, collects exit interview paperwork. Completes forms and processes changes in HRIS system, as needed. Acts as the E-time Timekeeper for assigned groups of employees and assists as a backup to all department timekeepers in the assigned market or business line. Assists employees regarding time off accruals. Assists employees with general questions related to the bank benefit plans, and acts as a liaison between the employee and the corporate HR office. Organizes and plans meetings and engagement activities and events, including handling invitations and reservations. Processes educational reimbursement requests. Handles any administrative duties related to ordering retirement gifts and coordinates parties. Assists with administering the service award program. Assists with maintaining Federal, State and Local labor law poster compliance in conjunction with the Corporate HR office. Processes invoices using the Accounts Payable system. Works with HR systems for research and report generation. Prepares reports and assembles accurate statistics/numbers. Interfaces with HRIS Administrator or IT to resolve technical issues. Follows department policies and procedures and maintains a current knowledge of legal and regulatory requirements impacting the HR Department. Serves as backup to other Employee Experience team members as needed. Greets applicants and employees, ascertains the nature of the business and directs them to the appropriate department or person. Answers phone, takes detailed phone messages, directs calls as appropriate. Answers varied inquiries over the phone, email or in person, explaining policies and procedures and resolving routine questions or problems independently. Performs general administrative duties including, but not limited to: scanning, copying, filing and preparing correspondence. Completing other duties as assigned. Participates in special projects as assigned. OTHER REQUIREMENTS: Banking is a highly regulated industry, and you will be expected to acquire and maintain a proficiency in the Bank's policies and procedures, and adhere to all laws, rules and regulations that are applicable to your conduct and the work you will be performing.
