Role Overview

We are seeking a highly organized and customer-focused Facilities Coordinator to support Corporate Real Estate and Facilities operations. This role serves as the primary on-site contact for office operations, visitors, vendors, and facility services, working a consistent schedule of Monday through Friday, 8:00 AM to 2:00 PM (30 hours per week with a 30-minute unpaid lunch).

This position combines front-desk reception duties with administrative and facilities coordination responsibilities. The ideal candidate thrives in a fast-paced office environment, demonstrates professionalism, and can effectively manage multiple priorities.

Key Responsibilities



  • Serve as the first point of contact for employees, visitors, vendors, candidates, and deliveries
  • Greet and direct visitors while ensuring building access policies are followed
  • Maintain a clean, safe, and professional reception and lobby area
  • Respond to or route internal and external inquiries appropriately
  • Perform routine administrative tasks following established procedures
  • Support managers and cross-functional teams with facilities-related needs
  • Order supplies and services; manage inventory, tracking, and reordering
  • Coordinate incoming and outgoing mail and deliveries, including working with carriers and postal services
  • Communicate with external vendors to schedule equipment service and repairs
  • Coordinate general maintenance and repair activities across multiple disciplines
  • Oversee on-site vendors and assist with occasional catering coordination
  • Manage breakroom and conference room amenities
  • Maintain accurate records and ensure timely resolution of facility issues
