Leadership Education at Duke Divinity School is seeking a Staff Assistant to join our collaborative, mission-driven team. In this role, you'll be at the center of our daily operations-supporting faculty, staff, and external constituents who participate in Leadership Education programs designed to form leaders for the church and related institutions.

If you enjoy juggling a variety of responsibilities, value organization and accuracy, and find purpose in supporting meaningful programs, this role will give you the opportunity to make a visible impact every day. You'll work closely with the Administrative Coordinator and program staff, providing administrative, financial, database, and event support that allows our programs to thrive.

This position is 100% grant-funded through December 31, 2028, with the possibility of renewal based on continued funding.

Minimum Requirements



  • Broad knowledge of clerical and basic accounting principle
  • Typically acquired through two years of post-secondary education in secretarial science, business, or a related field OR an equivalent combination of education and experience
  • Three years of related administrative or clerical experience supporting office operations, communications, and financial or accounting activities



Preferred Qualifications



  • Proficiency with Microsoft Outlook, Word, and Excel
  • Experience working with databases (e.g., Airtable or similar systems)
  • Strong written and verbal communication skills
  • Demonstrated organizational skills and attention to detail
  • Ability to prioritize work and meet deadlines while supporting multiple staff members
  • Comfort learning new systems and adapting to changing priorities



Other Requirements



  • Ability to work collaboratively in a team-oriented office environment
  • Comfort providing customer service to internal and external constituents
  • This position is onsite and performed at a designated Duke University work location

As the Staff Assistant, you will:




  • Support financial operations by processing vendor payments, reconciling corporate card activity, depositing check payments, maintaining expense records, and preparing monthly financial reconciliation reports.
  • Maintain and report constituency data by ensuring records are accurate and consistent, auditing databases, and preparing reports for directors and program coordinators.
  • Serve as a key office operations resource by circulating communications, scheduling calendar appointments and meetings, preparing documents, maintaining digital files, ordering supplies, and supporting the day-to-day functioning of the office.
  • Provide event and program support by maintaining registration information, assisting participants, processing travel requests and reimbursements, preparing event materials, supporting virtual and in-person events, and assisting with logistics such as space, catering, and audiovisual needs.
  • Assist with contract administration by preparing templates, tracking signatures, ensuring documentation is complete, and initiating payment processing through Duke's systems.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $18.92 to USD $28.09.
