Leads the SSC real estate portfolio of properties ensuring facility standards, improvements, functionality, and performance of each facility is optimized. Ensure service and maintenance programs are effective at assigned facilities to ensure operational effectiveness for building occupants to do their work in a safe, clean, and comfortable environment. Sound Interesting? Here's what you'll do: Develop and implement an effective Facility Management Program that meets or exceeds industry standards. Facility programs that accelerate Employee Health and Safety programs, fire alarm, security systems, and sustainability programs, and that such programs are aligned with other IQS facility manager(s) and initiatives. Ensures all facility records are maintained to ensure their visibility, utilization, and security. Create a facility improvement and maintenance plan and ensure related actions are successfully completed. Develop Request for Proposals (RFP) for improvement and maintenance programs and lead facility related suppliers and contractors in successfully completing the scope of work. Develop and implement a facility recycling and hazardous waste program to align with global sustainability requirements. Work directly with Management Team to ensure their facility needs are satisfied. Perform other related duties as directed to assist the Head of IQS SSC US & Canada. Leadership and Culture:
Provide leadership, coaching, training, and professional development for the reporting team. Communicate the ZEISS agenda and IQS strategy, define corresponding measures and targets, and monitor implementation. Work with internal groups and departments to develop and change processes for streamlined workflow, interaction, and communication. Empower and motivate employees via feedback, improvement initiatives, and recognition. Support ISO 14001 and Global sustainability objectives thru effective implementation of programs. Develop and implement a facility recycling and hazardous waste program to align with global sustainability requirements. Drive facility improvements, maintenance, and cost reductions. Develop Request for Proposals (RFP) for improvement and maintenance programs. Administer & perform real estate management functions such as developing site specific RFP's, property searches, and lease negotiations, working closely with Real Estate professionals. Manage leases including lease requirements, lease notifications and certificate of insurance, including lease extensions and renewals. Perform and ensure required Asset Management functions are performed, up-to-date, and are current, including PM/PdM programs are robust, utilized, and effective. Perform and ensure required Risk Management functions are performed, up-to-date, and are current, protecting all assigned properties from physical and personal losses. Oversee daily operations of assigned locations of each facility, ensuring all systems and services are functioning properly and profitably. Develop, implement and enforce policies and procedures for facility operations such as safety, IT, Real Estate Management (REM) Security, and Facility Management are adhered to and followed. Ensure facility standards for each assigned facility are in place and maintained. Develop, manage/ supervise all refurbishment and/or building projects being undertaken by facility. This would include supporting and assisting with all internal/external SBU initiatives. Develop and maintain emergency, health and safety and disaster response plans for the facility (ERT). Responsible for safety compliance of assigned real estate portfolio. Liaison with tenants and relevant stakeholders addressing their concerns and maintaining positive relationships. Ensure critical RE & Safety databases are updated, current, and correct, such as Quentic, PMWeb, facility directories, vendor databases, and facility/location files. Ensure compliance with federal, state and local regulations. Manage security systems and required personnel and systems to maintain a safe environment including IT infrastructure. Prepare and manage each facility operational and CapEx budget within the real estate portfolio. Coordinate with event teams to promote event success and its businesses. Implement and monitor energy efficiency and sustainability initiatives. Manage project and service invoices ensuring approved financial obligations are met. Plan and forecast needs and requirements to ensure that the property maintains its market value. Prepare regular financial, KPI, and utilization reports on assigned RE portfolio. Other duties as assigned.
