Job Summary

The Facility Coordinator I will manage the daily operations of the facility, ensuring effective communication with internal and external stakeholders and overseeing task delegation to administrative staff. This role is responsible for maintaining and updating operational procedures, preparing key reports, and handling work requests. The Facility Coordinator I will also support IT equipment management and use the Computerized Maintenance Management System (CMMS) to track and ensure compliance with work orders. This position plays a crucial role in ensuring efficient workflow, accurate documentation, and smooth facility operations.


Essential Duties

  • Deliver exceptional customer service by managing administrative needs, addressing inquiries, and resolving issues; escalate complex concerns as needed
  • Communicate effectively with internal and external stakeholders to provide timely updates and support both immediate and long-term objectives
  • Manage, process, and dispatch work orders in the CMMS system, ensuring accurate tracking, compliance, and proper notifications to team members
  • Generate and maintain reports on project milestones, technician hours, work order status, and KPIs to support performance tracking
  • Process badging requests for field teams, office staff, and vendors
    Support onboarding efforts by organizing documentation, including New Partner Orientation materials and safety binders
  • Maintain and improve standard operating procedures to enhance efficiency and the overall customer experience
    Create purchase orders, assemble and track quotes, and manage supply ordering across multiple sites
  • Assist with payroll processing by entering weekly timesheet data and generating payroll vs. work order reports
    Support expense reporting and assist with inquiries related to the work order system
  • Coordinate IT equipment procurement, setup, and maintenance to ensure operational readiness
  • Answer phone calls and dispatch service requests to appropriate personnel
  • Delegate tasks when appropriate to improve workflow and team productivity
  • Build strong relationships with internal and external customers and contribute as a collaborative team member
  • Perform cross-functional duties and additional responsibilities as needed

Minimum Requirements

  • High School Diploma or GED equivalent; relevant certifications a plus.
  • 2-5 years of relevant experience in customer service or related fields.
  • Strong written and oral communication skills.
  • Ability to multitask and work well in a fast-paced environment.
  • Proficient in Microsoft Office software.
  • Is comfortable building working relationships with field teams.

*Hours:7:30AM-4 PM M-F

90-day Temporary Contract with opportunity to convert to full-time*
