Essential Job Duties
The Division of Campus Enterprises offers exciting opportunities for employment across our retail and hospitality units. We provide competitive pay, flexible scheduling, and significant opportunities for learning, growth, and promotion.
This position serves as a key member of the NC State Student Centers Events team, supporting Talley Student Union and Witherspoon Student Center. The Events Administrative Coordinator provides part-time operational and administrative support to the Student Centers Events team. This role focuses on ensuring accuracy in event bookings, maintaining systems and processes, and supporting key planning functions for university events and programs. The ideal candidate is detail-oriented, organized, and comfortable managing multiple systems and deadlines.

Key Responsibilities

Financial & Billing Support


  • Process and send event invoices every week
  • Conduct monthly billing audits to ensure all events requiring project IDs are accurately recorded in Mazevo



Scheduling & System Audits


  • Perform monthly Calendly audits by cross-checking priority locations with scheduled meetings to ensure compliance with departmental policies
  • Maintain and update the reservation request Trello board weekly, including moving and archiving cards as appropriate


Event & Reservation Coordination


  • Enter reservations and equipment needs for New Student Orientation
  • Coordinate Registration and Records bookings, including reserving classroom space and meeting with faculty before each semester
  • Assist with entering annual events into the reservation system
  • Review weekly setup reports for meeting rooms to verify the accuracy of equipment, setup/teardown times, and access details
  • Coordinate monthly facilities holds for maintenance and projects


Data Tracking & Reporting


  • Complete weekly workload assessments, tracking the number of event requests and confirmed events
  • Maintain and update monthly KPI tracking documents


Process Improvement & Documentation

  • Develop and maintain standard operating procedures (SOPs) and one-page process guides for the Events team

Website & Inventory Management


  • Manage and update Student Centers event webpages to ensure accuracy and relevance
  • Collaborate with Operations and Events teams to support inventory tracking and updates


Other

  • Assist with other projects as assigned by the Associate Director of Event Services

Minimum Experience/Education
  • High School Diploma (Bachelors Degree or 4 years of event experience preferred)
Department Required Skills

  • Strong attention to detail and organizational skills
  • Ability to manage multiple tasks and meet recurring deadlines
  • Experience with scheduling tools (e.g., Calendly), project management platforms (e.g., Trello), and database systems (e.g., Mazevo) preferred
  • Strong written communication skills for documentation and web updates
  • Ability to work independently and collaboratively within a team environment

Preferred Years Experience, Skills, Training, Education

  • Experience in event planning, reservations, or higher education environments
  • Familiarity with event management systems such as Mazevo (or similar platforms)
  • Experience creating process documentation or SOPs
