JOB TITLE: Administrative Assistant

PAY RANGE:
Administrative Asst I - 10B - 19.18-28.80/hr
Administrative Asst II - 11B - 21.88-32.84/hr
Administrative Asst Sr - 12B - 25.53-38.32/hr
Administrative Asst Lead - 13B - 29.3-44.04/hr

Role is eligible for overtime

POSITION SUMMARY:
This position provides administrative support to the division. These duties include professional handling of confidential materials such as completed performance appraisals, employee records, etc.

PRIMARY DUTIES AND RESPONSIBILITIES:
*Perform complex and detailed word processing on a variety of correspondence or reports and proofread and correct to ensure accuracy and content. This correspondence also includes confidential information such as Performance Appraisals, Payroll Change Authorizations, timesheets, etc.
*Compose short letters or memos which may also include designing or creating form letters and reports to aid in the volume of written correspondence.
*Make and ensure travel arrangements are completed and confirmed to ensure all schedules are maintained.
*Maintain electronic files and files of original forms for compliance with departmental policy and for easy retrieval of all information.
*Coordinate multiple schedules and ensure availability of personnel.
*Coordinate staff meetings and associated materials including agendas.
*Provide reports on divisions responsibilities such as condition reports, indicators, and self-assessments.
*Support the monthly revision of the division performance panels.
*Assist in the processing of Purchase Requisitions.
*Assist in the scheduling and communication of external vendors supporting Maintenance activities.
*Perform Emergency Plan duties as assigned
*Perform other secretarial duties as assigned by supervision/management.

EDUCATION, EXPERIENCE, and REQUIREMENTS:
*The Administrative Assistant I position requires a high school diploma (or GED equivalent) and six years of office work experience (two years' experience credit can be allowed for each completed year of college).
*The Administrative Assistant II position requires a high school diploma (or GED equivalent) and 10 years of office work experience (two years' experience credit can be allowed for each completed year of college).
*Cost control and budget development/auditing experience preferred

*This position requires the ability to successfully pass the clerical test for aptitude.
*This position requires demonstrated proficiency with the company standard office software components.
*This position requires the ability to work independently and display leadership potential.

*This position requires a satisfactory work record including good attendance.
