Position Summary

The Health Information Management (HIM) Specialist is responsible for maintaining the accuracy, integrity, and confidentiality of patient health records within the electronic health record (EHR). This role supports the full lifecycle of health information, including document processing, release of information (ROI), and compliance with privacy regulations. The position also supports referral coordination by ensuring timely and accurate documentation to facilitate continuity of care.

Overview of Responsibilities

Health Information Management (Primary Focus) 60%

  • Manages, processes, and maintains patient health records in the EHR.
  • Performs release of information (ROI) in compliance with HIPAA and organizational policies.
  • Monitors HIM email, phone, and fax systems; processes incoming records and documentation.
  • Reviews, organizes, abstracts, and enters medical information into the EHR.
  • Tracks and manages documents requiring provider signatures.
  • Supports legal requests (e.g., subpoenas, court orders, audits) and prepares invoices for record requests.
  • Maintains document workflows, including scanning, indexing, and records distribution.
  • Creates and maintains specialized records (e.g., Occupational Health).

Referral Coordination & Documentation 30%

  • Process internal and external referrals from initiation through completion.
  • Coordinate prior authorizations and verify insurance coverage.
  • Track referral status, retrieve necessary records, and follow up as needed.
  • Communicate with patients and providers regarding referrals and documentation.
  • Document all referral activity in the EHR.

Administrative Support 10%

  • Assist with forms, letters, and general documentation requests.
  • Support patients and staff with medical records and referral-related questions.
  • Coordinate with internal teams for system or equipment support.
  • Performs other duties consistent with the job classification and position description.

Required Qualifications

  • High School Diploma/GED and four years of related office experience. Training and/or education may be substituted for some of the years of experience.
  • Experience with electronic health record (EHR) systems and referral process.
  • Demonstrated experience in a multicultural medical or social services setting.
  • Excellent communication skills, both verbal and written, complemented by strong organizational abilities.
  • Job experience with analytical & critical thinking, and judgment & discretion.
  • Exceptional customer service and patient relations skills.
  • Strong critical thinking and keen attention to detail.
  • Proficient at managing multiple priorities and interruptions in a multitask work environment.
  • Proficient in office operations and tasks.
  • Highly skilled with computer technology and various applications.
  • Consistent reliability and ability to work on-site Monday through Friday, 8:00 A.M. - 4:30 P.M.

Preferred Qualifications

  • Multilingual.
  • OCHIN Epic experience.
  • College campus/student health clinic experience.
  • Knowledge of state and federal regulations related to HIPAA and release of information (ROI).

Physical Requirements

Prolonged sedentary work, repetitive keyboarding/mouse usage, and high-frequency, fine manipulation of tools. Essential physical demands include viewing computer monitors for extended periods, sitting or standing comfortably, and occasionally lifting/carrying light items (usually up to 10 lbs).

Pay and Benefits

Hourly Pay Range: $24.45 - $29.65; depending on education/qualifications/experience. Pay range is non-negotiable.

Time Appointment: 100%-time Appointment (40 hours per week, on-site Monday through Friday)
