PURPOSE and SCOPE

The Executive Assistant will provide high-level administrative support to 3 of our senior executives. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities with professionalism and discretion. The ideal candidate will be proactive, resourceful, and capable of handling sensitive information with confidentiality.

ESSENTIAL DUTIES and RESPONSIBILITIES

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

  • Executive Support: Provide comprehensive administrative support to senior executives, including calendar management, meeting coordination, travel arrangements, expense reports, and small projects as needed.
  • Calendar Management: Schedule meetings, proactively handle conflicts, prioritize meeting requests.
  • Meeting Coordination: Plan on and off-site meetings, scout locations, execute logistics
  • Travel Arrangements: Secure travel needs with travel department, transfer details into calendar
  • Expense Reports: Ensure expense reports are completely fully with appropriate documentation and in a timely manner
  • Communication: Serve as the primary liaison between executives and internal/external stakeholders. Handle high-level correspondence, draft and edit reports, and manage complex communication with professionalism and clarity.
  • Continuous Improvement: Develop and implement best practices and procedures for the administrative team to enhance efficiency.
  • Problem Solving: Proactively identify potential issues and provide solutions to improve processes and workflow. Address and resolve conflicts or challenges within the administrative team.
  • Front Desk & Phone Coverage: Serve as back up support for the Front Desk or fielding/re-directing phone calls.

EDUCATION and EXPERIENCE

  • Proven experience as an Executive Assistant or in a similar role, with a strong background in supporting senior executives.
  • Associate's or Bachelor's degree in Business Administration, Management, or a related field preferred.

KNOWLEDGE and SKILL REQUIREMENTS

The ideal candidate will demonstrate:

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain a high level of discretion and confidentiality regarding sensitive information.
  • Strong problem-solving skills and attention to detail.
  • Proactive, resourceful, and adaptable with a positive attitude.
  • Work autonomously and confidence to take-action
