About the Role:

As a General Clerk III, you will play a vital role in providing administrative support to our organization, ensuring the smooth operation of daily tasks and assisting with various clerical duties. Your attention to detail and ability to manage multiple responsibilities will contribute to the efficiency and effectiveness of our team.

Essential Job Responsibilities:

  • Perform a variety of clerical tasks, including data entry, filing, photocopying, scanning, and faxing documents, to support the administrative needs of the organization.
  • Assist with the maintenance of electronic and physical filing systems, ensuring that documents are organized, labeled, and stored accurately for easy retrieval.
  • Answer phones, greet visitors, and respond to inquiries from internal and external stakeholders in a professional and courteous manner, directing them to the appropriate person or department as needed.
  • Process incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate recipients and handling any correspondence or shipments according to established procedures.
  • Assist with scheduling appointments, meetings, and conference calls, coordinating logistics, sending reminders, and preparing meeting materials as requested.
  • Compile and prepare reports, spreadsheets, and other documents using Microsoft Office software (e.g., Word, Excel, PowerPoint), ensuring accuracy and completeness of data.
  • Collaborate with colleagues to support special projects, events, or initiatives, providing administrative assistance, research, and coordination as needed to achieve project objectives.
  • Maintain office supplies inventory, replenishing stock as needed, and submitting purchase requests to ensure adequate supply levels for ongoing operations.
  • Follow established protocols and procedures for document handling, confidentiality, and data security, maintaining the privacy and integrity of sensitive information.
  • Perform other duties as assigned by supervisor or management, contributing to the overall efficiency and effectiveness of the administrative team.

Qualifications:

  • High school diploma or equivalent.
  • Minimum of 1-2 years of experience in an administrative or clerical role, performing tasks such as data entry, filing, and document management.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook), with the ability to create, edit, and format documents, spreadsheets, and presentations.
  • Strong organizational skills, with the ability to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment.
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with colleagues, clients, and visitors.
  • Attention to detail and accuracy, with the ability to maintain thorough and precise records, documentation, and filing systems.
  • Ability to work independently with minimal supervision, as well as collaboratively in a team environment, demonstrating reliability and flexibility.
  • Strong problem-solving skills, with the ability to identify issues, propose solutions, and escalate concerns as needed to ensure resolution.
  • Adaptability and willingness to learn new skills, procedures, and technologies to enhance job performance and contribute to organizational goals.
  • Previous experience in a similar role within a corporate, government, or nonprofit organization.
  • Familiarity with office equipment such as printers, copiers, scanners, and fax machines, with the ability to troubleshoot basic technical issues.
  • Knowledge of office management principles and practices, including recordkeeping, file management, and administrative procedures.
  • Certification or training in office administration, secretarial studies, or related areas.

The pay range for this position starts at $19.30/hr; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonus opportunities may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered
