Essential Duties & Responsibilities:
To successfully perform this role, an individual must be able to carry out each essential duty satisfactorily.   • Facilitate crew scheduling for projects, maintenance, inspections, and service calls within the Service Department.
  • Serve as the primary point of contact for client inquiries, providing accurate information and exceptional service.
  • Partner with Project Managers and Service Account Managers to coordinate field labor and ensure seamless project and service delivery.
  • Manage service requests endtoend, from intake through completion, using the dispatch system to monitor progress and allocate technicians.
  • Track manpower availability and open work orders; assign technicians promptly based on priority and workload.
  • Answer service calls and follow up with customers in a timely and professional manner.
  • Document and categorize all incoming work requests-via phone, email, or in person-before entering them into dispatch software.
  • Verify billing details (billto information, PO numbers, spending limits, warranty status, and billable criteria) prior to processing requests.
  • Actively manage the dispatch console, including realtime technician adjustments and rescheduling.
  • Confirm completion of inspections, review inspection forms, prepare field quotes, and collaborate with Service Account Managers for approval.
  • Accurately input new maintenance and warranty inspection contracts into internal systems.
  • Provide training and workflow support to technicians and service team members to ensure efficiency and customer satisfaction.
  • Address customer complaints and escalate issues to management when appropriate.
  • Assist with timesheet review, time tracking, accounts receivable followups, and general billing support.
  • Conduct customer surveys as needed to support service quality initiatives.
  • Support Architectural Department activities, ensuring compliance with established SOPs.
  • Perform additional duties as assigned.


Required Education & Experience:



  • One year or more of experience in a service-oriented or complex business office, with emphasis on scheduling and client management.
  • Proficient in Microsoft Office (Outlook, Word, Excel) or similar record-keeping software.
  • Ability to quickly learn and navigate company systems, including CenterPoint, WebApps, Samsara, and SharePoint.
  • Working knowledge of iPhone and iPad functionality.
  • Excellent interpersonal and communication skills.
  • Strong attention to detail, organizational skills, and ability to multitask effectively.

  • This role will report in-person to our Duluth, MN office.

Compensation & Benefits:



  • The expected hourly compensation range for this position is $22.60 - $33.90. Compensation offered to the selected candidate will vary depending on relevant knowledge, skills, training, experience, and market conditions.
