The Building People, LLC, is seeking a Controlled Correspondence Specialist to support the Office of Energy Efficiency and Renewable Energy (EERE) at the Department of Energy. The Specialist will support the Controlled Correspondence Team as a division under the Office of Business Services Management. The right candidate for this role will have a strong administrative background, strong organizational skills, the ability to follow a process and track multiple deadlines, and strong written communication skills. Past experience with federal controlled correspondence is a plus but not required.

Primary Duties and Responsibilities include:



  • Support the controlled correspondence team processing all new controlled correspondence and congressional reports using pre-established DOE and EERE procedures and system tools.


-This includes support for the Collaborative Action Process reviews for EERE, processing Program Determination assignments, and supporting close out actions.



  • Support quality control efforts, as directed by the CCCR Lead, ensuring products meet the ES Style Guide and other communicated standards of quality and communications are clear, concise, and complete.
  • Supporting the update and maintenance of CCCR processes, procedures, and guidance documentation, and the communication thereof to CCCR points of contact across the EERE program offices.
  • Track, monitor, and facilitate correspondence and reports through the process within the pre-established time frames (dependent on the type of correspondence).
  • Enter in all correspondence into e-Workflow for approvals and tracking and support Technology Office POCs in the proper use of templates and routing
  • Provide weekly status updates for controlled correspondence and congressional reporting with a mutually agreed upon format and due date.
  • Ad hoc reporting and coordination/communication activities in the Controlled Correspondence / Congressional Reporting subject area, per direction of the subject lead.


Required Experience & Skills



  • Eight (8) years of relevant experience
  • B.S. or B.A. in a related discipline; four (4) years of experience may be substituted for Bachelor degree requirement.
  • A Master's degree may be substituted for an additional two (2) years of experience.
  • Authorized to work in the United States with no restrictions.


Preferred Experience & Skills



  • Demonstrated strong verbal and written communication skills.
  • Ability to perform both as an individual contributor as well as a member of a diverse team.
  • Ability to be proactive and create a positive experience for others.
  • Ability to manage multiple tasks and ensure all major priority items are accomplished on time and according to plan.
  • Ability to adapt to shifting priorities and urgent requests.
  • Attention to detail.
  • Strong working knowledge of Microsoft Office software, including Outlook and Teams


Preferred Education



  • B.S. or B.A. in a related discipline; four (4) years of experience may be substituted for Bachelor degree requirement.
  • A Master's degree may be substituted for an additional two (2) years of experience.
