Project Coordinator

Real Estate, Development & Facilities

Job Summary

Responsible for supporting the planning, reporting, analytics, and coordination activities of the Real Estate, Development & Facilities Department. Serves as a key resource for capital project reporting, portfolio analytics, executive communications, and organizational effectiveness initiatives. Works closely with Project Managers, Directors, Finance, Facilities Operations, Design & Construction teams, and executive leadership to ensure accurate project data, meaningful performance reporting, and effective portfolio management.

Essential Responsibilities

Project Portfolio Reporting

  1. Develop, maintain, and distribute project and portfolio reporting for capital construction, facilities, and real estate initiatives.
  2. Create and maintain executive dashboards, KPI scorecards, project status reports, and portfolio performance metrics for department leadership.
  3. Analyze project data to identify trends, risks, schedule impacts, budget variances, and resource needs.
  4. Consolidate information from project management systems and stakeholders to support accurate and timely reporting.

Data Analytics & Performance Management

  1. Maintain project databases and reporting systems to ensure data integrity, consistency, and accessibility.
  2. Prepare monthly, quarterly, and annual reports summarizing project performance, capital expenditures, financial forecasts, and strategic initiatives.
  3. Develop visual reporting tools including dashboards, charts, graphs, and presentations using business intelligence and reporting platforms.
  4. Monitor key performance indicators and recommend improvements to reporting processes and organizational performance.

Project Controls Support

  1. Support management of project schedules, budgets, forecasts, change orders, risks, issues, and action-item tracking.
  2. Assist project managers in monitoring project health and reporting potential schedule or budget concerns.
  3. Coordinate collection and validation of project data for executive reviews and governance meetings.
  4. Support maintenance of project documentation, reporting standards, and PMO best practices.

Organizational Support

  1. Coordinate leadership meetings, project review sessions, strategic planning workshops, and departmental communications.
  2. Prepare executive summaries, leadership presentations, board reports, and briefing materials.
  3. Develop meeting agendas, document key decisions, maintain action-item logs, and ensure follow-through on commitments.
  4. Assist departmental leadership with special projects, strategic initiatives, and process improvement efforts.
  5. Support other administrative needs such as managing payroll, expense reports, coordinating document execution, and other activities.

Stakeholder Communication

  1. Serve as a liaison among project teams, consultants, contractors, finance teams, and operational stakeholders to ensure consistent communication and reporting.
  2. Publish regular project and portfolio updates to leadership and project stakeholders.
  3. Support development of communication plans for major real estate, facilities, and construction initiatives.


Preferred Experience

  • 3-5 years supporting capital projects, construction programs, real estate portfolios, facilities management, or project management offices.
  • Experience with healthcare facilities, construction, or real estate organizations preferred.
  • Experience creating executive-level reports and dashboards.
  • Experience working with project management and reporting platforms.

Education Requirements:
* Associate's degree in an appropriate discipline or equivalent combination of education, skills, and experience.
Licensure/Certification Requirements:
* No licensure or certification required.
Professional Experience Requirements:
* If bachelors, 1 year of administrative/office support or 6 months of project related support.
* If an Associate's degree, three (3) years of experience providing project-related support.
* If a high school diploma/GED, seven (7) years of experience providing project-related support.
