The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiations agreements, and is responsible for institutional strategic initiatives and operations, which encompasses an expansive range of comprehensive service and business operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations. |
| Posting Summary |
Rutgers, The State University of New Jersey, is seeking an Administrative Coordinator for the Division of Institutional Planning & Operations (IP&O). The position reports to the Assistant Director, and has oversight of functions that provide critical front-line customer service to the university community regarding all Rutgers transportation.
Among the key duties of this position are the following:
- Responsible for all charter service & paratransit service scheduling, vehicle assignments, and transportation invoicing, billing and record keeping.
- Responsible for monitoring the work of all transportation performed, ensuring the work follows protocols & direction from the customer and provider, and meets pre-determined standards of performance from the Department of Transit Services.
- Ensures adherence to protocols, policies, and procedures.
- Oversees the day-to-day operations of the Rutgers Bike Program that rents bikes and bike lockers to the Rutgers Community. Ensures payment and customer service for the Bike Program.
- Has oversight of functions that provide critical front-line customer service to the university community regarding all Rutgers transportation.
- Provides input and assists with all customer service.
- Expected to work all events that Rutgers Transportation is involved in.

Qualifications
| Minimum Education and Experience |
- Bachelors degree in related field or an equivalent combination of education and experience that demonstrates knowledge and understanding of office administration, work organization, coordination and facilitation.
- A minimum of two years relevant experience in an administrative function.
