Job Summary

Under general supervision, performs all components of Patient Access from Registration to discharge for Rehabilitative Medicine and Outpatient Behavioral Health Services patients. Trained in all aspects of front office clinic operations, including but not limited to: Outpatient registration, referral transcription, patient scheduling, insurance verification, prior authorization, coordinating provision of care and documentation preparation for worker compensation patients and worker compensation carriers, and cash handling. Works collaboratively with the PAS Lead, PAS Supervisor, providers, and other departments to ensure continuous clinic flow and seamless provision of care.

Essential Functions:

  • Greets, registers, schedules, and admits patients while answering telephone inquiries, screening calls, and taking messages; delivers high-quality customer service at all times and clearly explains patient out-of-pocket costs, including deductibles, co-pays, and deposits, addressing questions to ensure understanding of financial responsibility prior to or at the time of service. (15%)
  • Works and transcribes incoming referrals, schedule appointments, and obtains all required documentation from patient. (15%)
  • Conducts insurance verification through EPIC RTE, calling insurance plans, and applicable websites to verify benefit information and obtain authorization for treatment. Verifies accurate patient demographics and insurance information is entered in the EHR to provide for clean claims and reduce rework and patient complaints. (30%)
  • Submits, tracks and posts Plan of Care to/from outside providers into EHR in accordance with Medicare and Medicaid guidelines. Notifies treating provider and PAS Lead or PAS Supervisor of any issues that could result in delay or denial of care. (10%)
  • Performs cash handling duties that includes collection of co-pays, co-insurance, prepayments and past due balances. Runs their personal Cash Drawer Closing Report in EPIC at end of shift. (5%)
  • Works with and under the direction of the PAS Lead to promote positive interpersonal (customer) relationships with fellow employees, providers, patients and visitors. Treats these individuals with courtesy, dignity, empathy and respect; consistently displays courteous and respectful verbal and non-verbal communications. (5%)
  • Identifies and escalates system problems, environmental issues, and employee issues as appropriate, to the clerical supervisor and clinic leadership team. (5%)
  • Provides Administrative Clinic Support to include but not limited to general cleanliness of the clinic, laundry, help desk tickets and other duties as assigned (10%)
  • Initiates Downtime procedures when computer system downtime, electricity or internet outages. (5%)

Education:

  • No High School Diploma and/or No GED

Work Experience:

  • 1-3 years of clerical experience. Required

Licenses:

  • BLS-Basic Life Support (BLS/CPR) - AHA - American Heart Association or American Red Cross Required

Knowledge, Skills and Abilities:

  • Excellent interpersonal communication and telephone skills required.
  • Skilled analysis of information, critical thinking and problem solving with an emphasis on customer service.
  • Ability to work with a diverse team and a diverse customer base explaining procedures and organizational policies in a health care setting.
  • Availability to work 40 hours/week with flexibility to accommodate the needs of the clinic.
  • Proficient in the use of Microsoft Windows.
  • Bi-lingual skills preferred
