| Position Summary |
Oversee and manage Visitor Services, which include rental venues, rental implementation, and volunteer programs at the State Botanical Garden of Georgia. Job duties include coordinating the scheduling, contracting and business aspects of rentals and visitor services, supervising volunteer program and visitor services staff, of visitor services. This position manages the Visitor Services Manager and collaborates closely with the Special Events Manager on rental and event planning and implementation. The position also works in collaboration with the Assistant Director of Operations to ensure safety & security, maintenance, cleaning, and AV needs for rentals are met, as well as working with the Communication Manager on marketing the 8
SBG rental venues. The Assistant Director of Visitor Services works closely with the finance team to track rental contracts, payments, and return of damage deposits. They will develop and present budgeting and projecting to meet strategic objectives. This position reports to the Associate Director of Administration and Visitor Services. |

Manage rentals, scheduling, and logistics of the SBG rental business.
This includes oversee and manage the scheduling, logistics, troubleshooting, contracting and ensuring revenue growth of the
SBG Rental Business. The position manages the rental growth of 8 venues, including:
- Manage external paid, internal rentals, rental tours, rental scheduling, contracting, payments & refunds through a rental digital platform.
- Coordinate external vendors and contractor performance and payments
- Close the rental sale after the rental tour that includes the completion of contracting and initial deposits. Follow up on final payments prior to rental dates.
- Grow the overall number of paid rentals, generating an increased annual rental stream.
- Implement annual rental venue market analysis that ensures SBG rental pricing keeps up with market rates.
- Direct weekly rental coordination and planning meetings in close collaboration with the team who are responsible for event and rental planning and implementation.
- Manage the rental digital platform, to ensure data is accurate, providing updates across SBG Departments, include internal venue usage for programs, and provide monthly data analysis.
- Coordinate the approved vendor list ensuring caterers follow registration and present Cover of Insurance and liquor licenses. Includes tracking receipt of and growth of the catering surcharge revenue.
- Collaborate with the finance team to verify that payments, damage deposit returns, and UGA payment transfers are accurate and timely.
- Manage the rental procurement and PCard.
- Manage budgeting and financial projecting for rental revenues.

Management of the Visitor Services team:
- Manage the Visitor Services Manager to meet program needs for growing SBG visitors.
- Supervise part time Customer Service Assistant. As well as direct supervision of the Visitor Services Manager and Volunteer Coordinator.
- Direct weekend duty coverage to ensure rental tours and SBG safety & security are covered.
- Manage Volunteer & Tours Coordinator to ensure volunteers and staffing schedules meet all of the Visitor Center shifts and needs.
- Ensure volunteer onboarding and training are implemented according to policy & procedures.
- Develop and implement an annual volunteer program plan that increases the number of active volunteers, increases volunteer diversity, and provides a positive volunteer experience.
- Grow visitor tours with a steady increase in the quantity of tours and revenue generated.
