Summary of Position: The Administrative Specialist - Regional Learning Center supports daily operations by assisting students and faculty, managing records, and coordinating essential services. This position is responsible for helping maintain smooth facility operations through building access management, room scheduling, and communication with maintenance and security teams. It also contributes to an efficient learning environment by supporting events, processing payments, and coordinating part-time staff schedules.

Hours of this position would be Monday-Thursday (30 hours/week within the hours of 730am & 430pm)

Essential Functions

1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.

2. Perform office functions that may include, but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.

3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.

4. Student Success is the cornerstone of Western's culture and the college may assign employees as needed to other areas or additional duties to foster this success.

5. Administrative Support - Supporting Action/Task May Include:

  • Provide support to students and faculty by preparing classroom materials, day -to-day computer and IDL support, textbook ordering, proctoring exams, processing ID's and parking permits.
  • Open and close building when needed
  • Schedule appointments for students/inquiries with various student services personnel/confirm with students.
  • Collect and process payments and fees for students/inquiries/stakeholders
  • Assist students and prospects with questions, class requirements, admissions, class schedules, registration, orientation, financial aid and other student service-related matters
  • Prepare course files, room schedules, run class rosters and contact students if cancellations occur
  • Communicate with students, co-workers, and stakeholders by phone, email and in-person

6. Operations & Facility Coordinators - Supporting Action/Task May Include:

  • Coordinate facility operations by monitoring building systems, reporting issues, and submitting service requests to custodial, maintenance, IT, and security teams.
  • Manage building access and room usage by processing access requests, maintaining space use records, and assisting with room reservations and rental documentation.
  • Assist with special projects and events by helping with preparation, marketing, and on site support.
  • Support staffing operations by preparing monthly schedules for part time staff and reviewing and submitting timecards to ensure coverage.

Qualifications

Minimum Qualifications:

  • Associate degree in related field OR
  • Education in related field combined with related occupational experience totaling 2 yrs. OR
  • Related Occupational experience totaling 2 yrs.

This position reports to: Manager - College Connections & Regional Locations

Starting annual/hourly salary range based on education and experience: $23.61 - $30.24

This position would include competitive salary, along with a wide variety of benefits available to 30-hour a week positions for Western Technical College Employees.
