Job Summary

We are currently hiring an Executive Assistant to the President & CEO for our Executive team, and our ideal candidate will possess a passion for impacting lives and our community. The primary purpose of this position is to support the President & CEO by performing diversified administrative duties as well as managing and planning company meetings and events.

Essential Duties

Your Day-to-Day Leadership includes Activities such as these:

  • Facilitates the work of a company executive by providing various administrative support services. Receives, places and makes phone calls of varying priority requiring selective processing. Makes travel arrangements for the executive. Handles routine correspondence and prioritizes mail. Provides information, answers questions and resolves routine inquiries.
  • Oversees the company travel program, including setting up new user accounts, assisting with travel issues, reconciling travel statements, etc.
  • Prepares records, reports, and other material for employer's use or anticipated use. Conducts research, requests and gathers information from appropriate sources as required and compiles and prepares statistical reports as needed. Obtains data and compiles information required for preparation of summary reports, studies, and guides. Contacts appropriate person to resolve discrepancies or problems on records, documents, or various issues.
  • Facilitates the work of the executive by producing complex documents including presentations, correspondence, emails and spreadsheets with a high degree of accuracy, often on tight time deadlines.
  • Manages payroll reporting records for executive staff members. Reviews expense reports, notes discrepancies, and makes corrections as appropriate in accordance with company policy. Verifies accuracy and adequacy of supporting papers and vouchers.
  • Coordinates and arranges company events, including Diamond Club, prepares monthly updates on eligibility, scouts potential event locations, prepares agendas, reserves and prepares event facilities, and coordinates all communication and activities associated with company events.
  • May transcribe and record minutes of meetings.
  • Demonstrates high level of adaptability to changing business priorities.

Competencies

Competencies we value for this role include ethical conduct, thoroughness, detail-oriented, excellent written and oral communication skills, strong time management skills, customer-service orientation, good skills in the use of Microsoft Office products (Word, Excel and PowerPoint) including the ability to complete complex formulas, formatting, and processes, proven strong organizational skills, and an ability to effectively prioritize in a multi-task environment. We also desire a high school diploma or GED, 5 years of secretarial or administrative/executive assistant experience. An Associates degree and experience in HRIS or PeopleSoft is preferred.
